Job Summary

We are seeking an experienced Sales Coordinator to support our regional medical device business from India. The ideal candidate should have robust expertise in sales coordination, quotation preparation, order processing, customer support, supplier coordination, documentation, and reporting. This role requires excellent organizational skills, attention to detail, and the ability to work independently in a fully remote environment while collaborating with international stakeholders.

Key Responsibilities

- Prepare accurate customer quotations, commercial proposals, tender documents, and pricing based on approved product specifications, delivery schedules, and warranty terms.
- Coordinate with sales teams, customers, manufacturers, suppliers, logistics partners, and accounts teams to ensure seamless order processing and fulfillment.
- Handle customer inquiries, quotation follow-ups, purchase order tracking, documentation requests, and order status updates professionally.
- Process and monitor customer purchase orders, supplier purchase orders, invoices, delivery notes, shipping documents, and related commercial records.
- Follow up with manufacturers and suppliers regarding stock availability, order confirmations, shipment schedules, backorders, and pending documentation.
- Maintain organized digital records of quotations, customer correspondence, supplier communications, contracts, invoices, and delivery documents.
- Prepare weekly and monthly MIS reports covering quotation pipeline, confirmed orders, pending purchase orders,



delivery status, revenue tracking, and outstanding issues.
- Coordinate product complaints, warranty claims, repair requests, replacements, and manufacturer feedback while ensuring timely resolution.
- Escalate customer issues, supplier delays, missing information, and documentation gaps to the relevant teams.
- Participate in virtual meetings, manage multiple priorities independently, and provide regular updates during Singapore working hours.

Desired Candidate Profile

- 610 years of experience in Sales Coordination, Customer Service, Commercial Operations, Order Processing, Supplier Coordination, or Sales Support.
- Experience in Medical Devices, Healthcare, Engineering Products, Industrial Equipment, Distribution, or B2B Sales Support is preferred.
- Strong experience preparing quotations, handling customer and supplier purchase orders, and coordinating order fulfillment.
- Knowledge of invoices, shipping documentation, logistics coordination, warranty handling, complaint resolution, and after-sales support.
- Excellent written and verbal English communication skills, particularly for professional email correspondence with international clients and suppliers.
- Proficient in Microsoft Excel, Word, Outlook, PowerPoint, and CRM/ERP systems.
- Ability to work independently in a remote environment with excellent time management and follow-up skills.
- Must have a reliable laptop/desktop, stable internet connection, and a dedicated workspace.
