Role & responsibilities
Key Responsibilities
1. International Procurement & Import Management
- Manage the complete import procurement lifecycle from purchase requisition through purchase order, shipment tracking, customs clearance, and landed cost reconciliation.
- Coordinate with overseas suppliers, freight forwarders, customs brokers, banks, and logistics partners.
- Manage international payment instruments including Letters of Credit, Telegraphic Transfers, and other trade finance mechanisms.
- Evaluate and manage Incoterms (FOB, CIF, EXW, DDP, FCA, etc.) to optimize commercial and operational outcomes.
- Monitor shipment status, resolve customs issues, and minimize delays and associated costs.
- Maintain complete import documentation including:
- Commercial Invoices
- Packing Lists
- Bills of Lading/Airway Bills
- Certificates of Origin
- Insurance Documents
- BIS and other regulatory certifications
- Customs documentation
- Ensure compliance with all import regulations, duties, taxes, and statutory requirements.
- Monitor foreign exchange exposure and coordinate with finance regarding hedging and forward contracts where applicable.
2. Strategic Vendor & Principal Relationship Management
- Develop and maintain long-term relationships with international suppliers and exclusive global brand principals.
- Lead supplier negotiations covering pricing, payment terms, delivery schedules, minimum order quantities (MOQs), and commercial agreements.
- Conduct supplier evaluation, qualification, onboarding, and performance reviews.
- Develop supplier scorecards and continuous improvement initiatives.
- Identify opportunities for supplier development while maintaining strategic partnerships.
- Resolve commercial disputes professionally while protecting long-term supplier relationships.
3. Manufacturing & Technical Procurement
- Procure technical components, raw materials, finished goods, and engineered products required for manufacturing and assembly operations.
- Manage Bills of Materials (BOM) in coordination with engineering, production, and design teams.
- Ensure continuity of supply for critical components through effective inventory planning and supplier diversification.
- Manage alternate sourcing and component substitution when products become obsolete or supply constrained.
- Balance cost reduction initiatives without compromising product quality, specifications, or compliance requirements.
4. Costing & Commercial Management
- Prepare detailed landed cost calculations incorporating:
- Product Cost
- Freight
- Insurance
- Customs Duty
- BCD
- IGST
- Port Charges
- Clearing Charges
- Inland Transportation
- Currency Impact
- Other Import Costs
- Ensure procurement costs accurately flow into quotation and estimation processes.
- Monitor supplier price changes and develop mitigation strategies for ongoing projects.
- Support budgeting, forecasting, and procurement cost analysis.
- Drive cost optimization initiatives across procurement categories.
5. Procurement
- Prioritize urgent procurement requirements while maintaining procurement governance.
- Provide procurement support during project execution and client delivery.
- Resolve cross-functional issues involving specifications, timelines, commercial terms, and inventory availability.
- Communicate procurement risks proactively to stakeholders.
6. Risk Management & Decision Making
- Identify procurement risks related to suppliers, logistics, foreign exchange, compliance, and supply chain disruptions.
- Develop contingency sourcing strategies.
- Prioritize competing procurement requirements based on business impact.
- Investigate procurement discrepancies, irregularities, and process deviations.
- Recommend process improvements to enhance efficiency and governance.
Preferred candidate profile
The ideal candidate should possess strong commercial acumen, technical procurement expertise, and the ability to manage multiple high-value procurement projects simultaneously in a fast-paced workplace. Moreover, the ability to manage global suppliers and exclusive international brand principals while ensuring cost optimization, supply continuity, compliance, and seamless coordination with internal stakeholders is required.
