Role & responsibilities:
Position Overview
The Executive Assistant to COO provides high-level administrative, operational, and strategic support directly to the Chairman & Managing Director. This role ensures seamless management of schedules, correspondence, meetings, and key initiatives, acting as a trusted liaison between the COO and internal/external stakeholders. The EA plays a critical role in enabling the COO to focus on strategic decision-making and organizational leadership.
Key Responsibilities
- Manage the COOs calendar, schedule meetings, and coordinate appointments efficiently.
- Prepare, review, and manage correspondence, presentations, reports, and other documents on behalf of the COO.
- Coordinate internal and external communications, ensuring timely and skilled responses.
- Arrange and manage travel plans, accommodations, and itineraries for business trips and official visits.
- Organize and facilitate meetings, workshops, and board-level discussions, including agenda preparation and minutes.
- Conduct research, compile data, and prepare briefing materials for strategic decision-making.
- Maintain confidential files, records, and sensitive information with utmost discretion.
- Liaise with senior management, departments, government officials, and external stakeholders on behalf of the COO.
- Monitor action items and follow up with relevant teams to ensure timely execution of directives.
- Support the COO in administrative processes, office coordination, and ad-hoc projects.
Preferred candidate profile :
Qualifications & Skills
- Bachelors degree in Business Administration, Management or related field.
- 5–10 years of experience as an Executive Assistant or Personal Assistant to senior leadership, preferably at board/CEO/CMD level.
- Strong organizational, planning, and multitasking skills with meticulous attention to detail.
- Excellent written and verbal communication skills.
- High level of discretion, integrity, and professionalism in handling sensitive matters.
- Proficiency in MS Office Suite, digital tools, and office management systems.
- Ability to anticipate COO’s needs, prioritize tasks, and work proactively under pressure.
- Strong interpersonal skills for effective coordination with internal teams and external stakeholders.
