The Facilities Coordinator will provide support to the Site Facility Manager with operational activities including maintenance and operations, finance, vendor oversight, equipment and supplies, and occupancy services, while proactively developing and maintaining client relationships to ensure that expected service levels are achieved. This role is designed for a coordinator with a strong technical and hands-on aptitude, capable of supporting both operational coordination and practical on-site maintenance activities.

Service Delivery Responsibilities
• Actively support an environment of teamwork, cooperation, performance excellence, and personal success
• Conduct daily walkthroughs to ensure a clean and organized office
• Respond to all work orders in a timely manner, ensuring KPI compliance and excellent customer service
• Identify opportunities for improved operations and service excellence; conduct site inspections and assessments to ensure all building procedures and performance measures are maintained and a safe workplace is provided
• Schedule and manage repairs, maintenance, and other client requests, tracking all items to completion
• Maintain and update accurate site and service records and documentation, including service reports, compliance records, fire/life safety documentation, and environmental health and safety materials
• Provide information and direction to vendors and other service providers to ensure excellent coordination and execution of work with minimal disruption
• Assist in the procurement of vendors and services as required
• Support the delivery of site amenities and support moves as required; act as the site’s key point of contact




• Provide coordination and support for events, meetings, and conference facilities as required
• Support landlord relations and management of building access passes

Technical & Hands-On Support
• Provide hands-on facilities support including general building repairs and maintenance such as troubleshooting and assessing lighting, HVAC, and electrical issues, performing minor plumbing repairs, office furniture systems repair, and general interior maintenance
• Perform routine facility inspections, identify mechanical, plumbing, or equipment deficiencies, and either correct issues directly when appropriate or clearly communicate findings and repair needs to engineering teams and specialty vendors
• Assist with troubleshooting and basic repair of kitchen and pantry equipment, including water supply lines, filter replacements, and general equipment upkeep
• Support preventive maintenance execution and participate in maintenance and repair efforts alongside engineering and vendor teams
• Respond to after-hours maintenance emergencies as required
• Maintain strict adherence to safety procedures and regulatory requirements

Client Relationship Management
• Comply with all requirements of the client contract and meet or exceed Key Performance Indicators
• Deliver exceptional quality of service as reflected by client feedback
• Coordinate site operations in accordance with all agreed policies, procedures, and contract scope
• Participate in and support site operations meetings, providing updates on facilities performance, service delivery, and operational priorities

Qualifications & Experience
• GED or High school diploma
• Prior experience in facilities, property management, hospitality, or related fields preferred
• Demonstrated experience in building maintenance, troubleshooting, and hands-on facilities work
• Understanding of basic technical aspects of property systems, including HVAC, plumbing, lighting, fire protection systems, and mechanical & electrical systems, is advantageous
• Proficiency in a range of information technology tools and platforms, including Google Workspace, Microsoft Office, and CMMS systems
• Strong communication, organization,



and problem-solving skills
• Ability to work independently with minimal supervision and manage multiple priorities in a quick-paced environment
• Self-motivated, reliable, and flexible, with a positive approach to learning and growth

Estimated compensation for this position:
65,000.00 – 72,000.00 CAD per year. This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
