Job Summary
The Operations Executive will be responsible for managing day-to-day operational activities, including order processing, order tracking, reporting, coordination with internal teams,
and ensuring timely completion of customer and business requirements. The role requires strong attention to detail, valuable Excel skills, and the ability to manage multiple tasks within defined timelines.
Key Responsibilities
Order Processing
- Process customer orders accurately and within defined timelines.
- Review order details, pricing, quantities, customer information, and supporting documents before processing.
- Create and maintain Purchase Orders (PO) in the relevant systems.
- Track orders from submission through completion and billing.
- Monitor pending, cancelled, and completed orders and take appropriate follow-up actions.
- Coordinate with Sales, Finance, Billing, and other internal teams to resolve order-related issues.
- Ensure orders are processed in accordance with internal procedures and compliance requirements.
Reporting & Data Management
- Prepare and maintain daily, weekly, and monthly order reports.
- Maintain order log and ensure information is updated accurately and on time.
- Prepare Excel-based reports for management and internal stakeholders.
Operational Support
- Monitor operational queues and ensure requests are completed within agreed Timeline.
- Follow up with relevant stakeholders on pending action.
- Support month-end and quarter-end operational activities.
- Assist with billing and invoice-related coordination where required.
- Provide timely status updates to management and stakeholders.
Required Skills
- Good knowledge of Microsoft Excel, including Pivot Tables, VLOOKUP/XLOOKUP, formulas, filters, and data validation.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Strong coordination and follow-up skills.
- Ability to work independently as well as within a team.
