About the Role
You are the first person our clients meet — the face and voice of the studio. We are looking for a warm, organised, and genuinely service-minded Client Relations & Front Desk Executive to manage front desk operations, coordinate appointments and schedules, build lasting relationships with clients, and keep the studio's day-to-day administration and inventory running smoothly. The right person makes every guest feel looked after from the moment they walk in.
What You'll Do
- Guest experience — Welcome clients, visitors, and guests warmly and professionally, and ensure the reception area is always clean, organised, and welcoming.
- Communication — Answer, screen, and direct phone calls, WhatsApp messages, and emails; handle client enquiries and resolve concerns promptly, escalating when necessary.
- Scheduling — Manage appointment and session bookings, meeting calendars, and reminders; coordinate with the internal team to ensure timely, seamless service delivery.
- Client relations — Build and maintain solid client relationships through regular communication and follow-ups; maintain visitor records, reception logs, and the client database.
- Administration — Support day-to-day administration — filing, data entry, document management, incoming mail and couriers, and assistance with reports, presentations, and correspondence.
- Inventory — Monitor and manage studio and office inventory — stock tracking, replenishment,
and records; conduct periodic audits and report shortages or discrepancies.
- Vendors — Coordinate with vendors and suppliers for procurement, deliveries, and stock reconciliation.
- Discretion — Maintain complete confidentiality of client and company information.
Who You Are
- Bachelor's degree or equivalent qualification.
- 1–3 years of experience in front desk, reception, customer service, client relations, or inventory coordination — wellness, hospitality, fitness, or salon/spa environments are a plus.
- Excellent verbal and written communication in English and Hindi, with strong interpersonal and relationship-building skills.
- Proficient in Google Workspace / Microsoft Office (especially spreadsheets and email); experience maintaining inventory records in spreadsheets or software is preferred.
- Organised, detail-oriented, and able to multitask — calm under pressure with a positive, professional presence.
- Comfortable working independently as well as part of a small, close-knit team.
Nice to Have
- Experience using booking, CRM, ERP, or inventory management software.
- Inventory planning and stock management experience.
- An interest in wellness, breathwork, sound healing, or recovery practices — you'll be talking about them every day.
