Role Summary

We are seeking a process-driven Mid-Level Procurement Executive to own the quote-to-purchase-order lifecycle for IT hardware, software, and services. Working the U.S. shift alongside our onshore leadership, you will gather requirements, build accurate quotes, coordinate with vendors and OEMs, place purchase orders, and drive orders through to delivery. Success in this seat means clean SLA compliance, precise documentation, strong stakeholder communication, and a genuine commitment to customer satisfaction.

Key Responsibilities

- Requirement gathering: Scope customer needs accurately and translate them into complete bills of material.

- Quoting: Prepare precise, margin-validated quotes and maintain a disciplined follow-up cadence.

- Vendor coordination: Engage distributors and OEMs (Dell, Lenovo, HP, Microsoft, Cisco/Meraki, and others) for pricing, availability, lead times, and deal registration.

- Purchase execution: Create purchase orders, confirm vendor acceptance, and convert to sales orders without error.

- Order tracking: Track orders from confirmation through delivery, managing backorders, delays, and partial shipments proactively.

- Communication: Keep tickets, time entries, and stakeholders (TAMs, SDMs, PMs, client POCs) updated in real time.

- Compliance and governance: Adhere to procurement SOPs, maintain accurate records, and support continuous process improvement.

Required Qualifications and Skills

- Communication: Exceptional written and verbal English; confident, professional interaction with U.S.



based customers and vendors.

- Experience: 3 to 4 years in procurement, sourcing, supply chain, or a closely related function.

- Process orientation: Methodical, detail-oriented, and comfortable working within SOPs and defined workflows.

- MS Office proficiency: Proficient in Microsoft Office (Outlook, Excel, Word, Teams), including formulas and reporting in Excel.

- AI savvy: Comfortable using AI tools (for example Microsoft Copilot) to accelerate quoting, drafting, research, and reporting.

- IT knowledge: Working knowledge of IT hardware and infrastructure laptops, desktops, servers, network switches, and access points.

- Shift flexibility: Able and willing to work the night shift aligned to U.S. Eastern Time, from the office.

- Location: Resides in or near Navi Mumbai for a short, reliable commute to the office.

Preferred (Nice to Have)

- Exposure to procurement or CRM platforms such as ConnectWise Manage / Sell, SAP Ariba, or GEP SMART.

- Familiarity with the MSP or value-added reseller (VAR) model and the education (K-12) vertical.

- Understanding of RFQ / RFP processes and vendor negotiation fundamentals.
