Job Summary
We are looking for an experienced and result-oriented Purchase Manager to manage end-to-end procurement activities for our real estate and construction projects. The candidate will be responsible for sourcing construction materials, negotiating with vendors, managing purchase orders, ensuring timely delivery, controlling procurement costs, and maintaining strong vendor relationships.
The ideal candidate should have good knowledge of construction materials, vendor management, rate negotiation, procurement processes, inventory coordination, and project requirements.
Key Responsibilities
1. Procurement & Purchase Management
Handle end-to-end purchase and procurement activities for construction and real estate projects.
Procure construction materials, equipment, tools, consumables, electrical, plumbing, civil and finishing materials.
Understand project requirements and arrange materials as per approved specifications and timelines.
Prepare and process Purchase Requisitions, Purchase Orders and Work Orders.
Ensure procurement is done as per approved budget and project requirements.
Coordinate with project/site teams to understand current and upcoming material requirements.
2. Vendor Management
Identify, evaluate and onboard reliable vendors and suppliers.
Maintain an updated database of approved vendors.
Obtain and compare multiple quotations before finalizing purchases.
Evaluate vendors based on price, quality, delivery schedule and payment terms.
Develop long-term relationships with reliable suppliers.
Monitor vendor performance and resolve supply-related issues.
3. Rate Negotiation & Cost Control
Negotiate competitive prices, payment terms, credit periods and delivery conditions with vendors.
Conduct regular market surveys to understand current material prices.
Ensure optimum procurement cost without compromising quality.
Compare historical purchase rates with current market rates.
Identify opportunities for cost savings and bulk purchase benefits.
Ensure purchases are made within approved budgets.
4. Construction Material Procurement
Responsible for procurement of materials such as:
Cement
Steel / TMT
Sand & Aggregate
Bricks / Blocks
RMC / Concrete-related materials
Tiles & Flooring Materials
Plumbing Materials
Electrical Materials
Paints & Waterproofing Materials
Sanitaryware
Doors & Windows
Hardware & Fittings
Fabrication Materials
Safety Materials
Tools & Equipment
Construction Consumables
Finishing and Interior Materials
5. Purchase Order & Documentation
Prepare Purchase Orders based on approved requirements and quotations.
Ensure PO contains correct quantity, specifications, rates, taxes, delivery schedule and payment terms.
Maintain proper purchase documentation and records.
Verify vendor quotations, invoices, delivery challans and supporting documents.
Coordinate with Accounts for invoice verification and vendor payments.
Maintain purchase records for audit and management review.
6. Delivery & Site Coordination
Ensure timely delivery of materials at the required project/site location.
Coordinate with Site Engineer, Project Manager, Store and Accounts departments.
Track pending and upcoming material deliveries.
Follow up with vendors for delayed supplies.
Ensure materials received at site match the approved PO and specifications.
Coordinate with the Store Department for GRN/material receipt confirmation.
7. Quality & Specification Control
Ensure materials are procured according to approved specifications and quality standards.
Coordinate with technical/site teams for material approvals.
Avoid unauthorized substitution of materials.
Escalate quality issues or material rejection immediately to management.
Maintain records of approved brands, specifications and vendors.
8. Inventory & Stock Coordination
Coordinate with the Store/Project team to monitor material availability.
Avoid excess purchasing and material shortages.
Track critical and fast-moving construction materials.
Plan procurement according to project schedules.
Maintain minimum stock levels for essential materials.
9. Accounts Coordination
Coordinate with Accounts for:
Vendor invoice verification
Purchase bill processing
Advance payments
Credit purchases
TDS/GST-related documentation
Vendor outstanding payments
Payment follow-ups
Ensure purchase transactions are properly documented before payment processing.
10. MIS & Management Reporting
Prepare regular reports for management, including:
Daily/Weekly Purchase Report
Purchase Order Status
Material Requirement Status
Pending Purchase Orders
Pending Deliveries
Vendor Outstanding
Material Rate Comparison
Vendor Comparison Statement
Project-wise Purchase Summary
Monthly Purchase Report
Cost Saving Report
Major Procurement Issues
Required Skills
Strong knowledge of construction and real estate procurement.
Excellent vendor negotiation skills.
Good knowledge of construction materials and market rates.

Ability to manage multiple projects and purchase requirements.
Good knowledge of MS Excel and purchase/procurement software.

Educational Qualification
Bachelor's degree / Diploma in Civil Engineering, Construction Management, Supply Chain Management, Procurement, Business Administration or a related field.
Candidates with relevant experience in real estate, construction or infrastructure procurement will be preferred.
