Job Summary
The HR Operations Lead is responsible for managing and optimizing end-to-end HR operations across the employee lifecycle for a workforce of approximately 1,000 employees in India. This role ensures operational excellence in onboarding, HR administration, HRMIS (Keka) governance, payroll input management, compliance, employee data integrity, and exit processes.
The role serves as a key interface between HR Business Partners, Finance, IT, Legal, and external vendors, ensuring scalable, compliant, and efficient HR operations aligned with MNC best practices in the RCM business environment.
Major Responsibilities/Activities
HR Operations & Employee Lifecycle Management
- Own and manage the entire employee lifecycle including onboarding, confirmation, job changes, transfers, promotions, documentation, and exits.
- Ensure seamless execution of joining formalities, background verification coordination, employee documentation, and induction processes.
- Drive standardized HR operational processes across locations and business units.
- Manage employee records, letters, policies, and documentation in line with company and statutory requirements.
- Act as the escalation point for complex HR operations issues and employee queries.
HRMIS Administration (Keka)
- Serve as the system owner for Keka HRMIS for India operations.
- Configure, administer, and maintain modules including employee master data, attendance, leave, onboarding, exit, and reports.
- Ensure data accuracy, completeness, and integrity through regular audits and reconciliations.
- Partner with HR, IT, and Keka support for system enhancements, automation, upgrades, and integrations.
- Create and maintain SOPs, workflows, and user guides for HRMIS processes.
- Generate MIS, dashboards, and analytics for leadership and compliance reporting.
Payroll Input Management
- Own payroll input administration including attendance validation, leave data,
shift allowances, incentives, bonuses, arrears, deductions, and variable pay inputs. (Work with the payroll partner)
- Validate payroll inputs for accuracy and compliance before submission to Finance / payroll vendor.
- Act as the single point of contact between HR, Finance, and payroll service providers.
- Support month-end, quarter-end, and year-end payroll activities including audits and reconciliations.
- Assist employees with payroll-related queries and clarifications.
Note: This role does not process payroll but ensures accurate and timely payroll inputs.
Compliance & Statutory Governance (India)
- Ensure compliance with Indian labor laws including but not limited to:
- Shops & Establishments Act
- PF, ESI, Gratuity, PT, LWF
- Wage-related compliance
- Change management on the transition to current wage code.
- HR Coordinator and Spoc for all audits, inspections and statutory filings with internal teams and external consultants.
- Maintain statutory registers, records, and documentation.
- Monitor changes in labor legislation and ensure timely implementation.
Team & Stakeholder Management
- Lead and mentor the HR Operations team, ensuring service excellence and SLA adherence.
- Partner with HRBPs to support business growth, workforce changes, and employee experience.
- Collaborate with Finance, Legal, IT and external vendors for operational efficiency.
- Ramp-ups, and scale-up initiatives typical to the RCM industry.
Continuous Improvement & Process Excellence
- Drive process standardization, automation, and continuous improvement initiatives.
- Identify operational risks and implement controls to mitigate errors and compliance gaps.
- Support internal and external audits related to HR operations and payroll.
Key Skills & Competencies
- Strong knowledge of India HR operations and labor laws
- Hands-on expertise with Keka HRMIS
- Experience managing HR operations for large headcount -1000 to 1500 employees
- High attention to detail and data accuracy
- Strong stakeholder management and communication skills
- Ability to work in a fast-paced, high-growth MNC environment
- Process-oriented mindset with exposure to audits and compliance
Working Environment
- The office environment is a controlled indoor setting with minimal exposure to adverse conditions.
- Noise levels in the office are typically moderate and consistent with a standard office setting.
- For employees approved to work in a hybrid or remote setting, a quiet, private workspace free from significant distractions is required to ensure productivity during work hours.
- A reliable internet connection is required for hybrid/remote work. EMS|MC will provide necessary equipment, including a computer, monitor, keyboard, mouse and headset.
Education & Experience
- Bachelors degree in HR, Business Administration, Finance, or related field (MBA/MSW/PGDM HR preferred).
- 812 years of HR Operations experience, preferably in:
- RCM / Healthcare services
- BPO/ KPO / ITES / Global services organizations
- Experience in MNC environments with structured HR processes is strongly preferred.
Physical Requirements:
- Sitting: frequent and prolonged periods of sitting at a desk while working on a computer.
- Communication: frequent and prolonged periods of speaking, listening, reading, and writing.
- Fine motor skills: frequent use of hands for typing and operating a computer mouse.
- Movement: occasional walking and climbing of stairs; limited bending, kneeling, lifting, and carrying of office-related items.
- Travel: must be able to travel occasionally to attend required company meetings.
