Position Summary Pinnacle FutureBuild Private Limited is seeking an experienced and strategic Admin Head to lead the Administration function for its Jaipur campus.The incumbent will be responsible for overseeing end-to-end administration, facilities management, infrastructure, security, transport, travel, vendor management, statutory compliance, asset management, and workplace services. The role is critical in ensuring safe, effective, and cost-effective operations while delivering an exceptional workplace experience for employees and visitors.Key Responsibilities Administration&Facilities; Management Lead and manage the overall administration function for the Jaipur campus. Ensure smooth day-to-day operations of housekeeping, reception, cafeteria, mailroom, and office support services. Maintain workplace infrastructure and ensure high standards of cleanliness, safety, and employee comfort.Develop and implement administrative policies, procedures, and best practices. Infrastructure&Office; Operations Plan and optimize office space utilization to support business growth. Coordinate preventive and corrective maintenance of office infrastructure and equipment. Ensure uninterrupted availability of utilities including power, water, internet, HVAC,
and other essential services.Maintain workplace readiness and operational efficiency across all facilities. Vendor&Contract; Management Identify, evaluate, negotiate, and onboard vendors and service providers. Manage vendor contracts, renewals, and Service Level Agreements (SLAs). Monitor vendor performance and drive continuous service improvements. Optimize administrative costs while maintaining service quality.Security, Safety&Statutory; Compliance Ensure compliance with all applicable statutory, regulatory, and local authority requirements. Oversee security operations, access control systems, fire safety, and emergency preparedness. Coordinate internal and external audits and ensure timely implementation of corrective actions.Promote a safe and secure workplace environment. Transport, Travel&Guest; House Management Manage employee transportation services and optimize route planning. Oversee corporate travel arrangements, accommodation bookings, and travel desk operations. Manage guest house operations to ensure quality service and cost efficiency. Develop cost-effective travel and logistics solutions.Asset&Inventory; Management Oversee procurement coordination for administrative requirements. Manage the complete lifecycle of office assets, including acquisition, maintenance, and disposal. Maintain accurate inventory records and Annual Maintenance Contracts (AMCs). Ensure effective utilization and accountability of company assets.Budget&Cost; Management Prepare and manage the annual administration budget. Monitor departmental expenditures and ensure adherence to approved budgets. Identify and implement cost optimization initiatives without compromising operational efficiency. Generate periodic reports on budget utilization and cost-saving measures.Team Leadership&Stakeholder; Management Lead,
mentor, and develop the Administration team. Establish performance goals and drive continuous improvement initiatives. Collaborate with HR, IT, Finance, Procurement, and Business Leaders to support organizational objectives. Foster a culture of operational excellence, accountability, and customer-centric service delivery.Experience 12–18 years of experience in Administration, Facilities Management, Corporate Services, or Workplace Operations. Proven experience managing large office campuses, corporate facilities, and administration teams. Experience in infrastructure management, vendor management, budgeting, statutory compliance, and workplace services.Exposure to managing multi-location administrative operations will be an added advantage. Desired Qualifications Bachelor's Degree in any discipline. MBA or Postgraduate qualification in Administration, Operations, Facilities Management, or Business Management is preferred.
