About The Role

This is a dual-function role designed for a proactive and organized individual reporting directly to the Managing Director and CEO. The first component involves providing comprehensive executive assistance to ensure the MD and CEO's schedules, travel, and correspondence are managed efficiently. The second component focuses on talent acquisition—identifying, sourcing, and onboarding suitable candidates to support the company's growth trajectory. This position requires someone who is detail-oriented, discreet, and capable of managing multiple priorities seamlessly. It is not an HR generalist or people management role; instead, it emphasizes supporting executive functions and maintaining a robust talent pipeline. The successful candidate will play a vital role in ensuring the leadership's day-to-day operations run smoothly while actively contributing to the company's recruitment efforts.

Qualifications

The ideal candidate will possess 2 to 6 years of experience in an executive assistance, recruitment, or talent acquisition role, or a combination of these. Demonstrable success in closing roles and managing end-to-end recruitment processes is essential.



Strong communication skills in English, both written and spoken, are required, with proficiency in Hindi and Marathi considered advantageous for local hiring. The candidate should be highly organized, capable of maintaining trackers, following up proactively, and closing tasks efficiently. Discretion is paramount, as the role involves handling confidential information such as salary data, correspondence, and calendar details of senior executives. Proficiency in Excel or Google Sheets, LinkedIn Recruiter or Naukri, and standard scheduling and documentation tools is necessary. A graduate degree in any discipline is acceptable; formal HR qualifications are not mandatory.

Responsibilities

Executive Assistance to the MD and CEO

- Manage and coordinate both calendars, including scheduling, rescheduling, and prioritizing appointments to optimize productivity.
- Plan, book, and coordinate domestic and international travel arrangements, including flights, hotels, visas, ground transportation, and itineraries.
- Prepare comprehensive meeting materials such as agendas, briefing notes, background information, and minutes with actionable points.
- Track follow-ups, deadlines, and commitments to ensure timely completion of tasks and responsibilities.
- Draft, manage, and respond to correspondence, acting as the first point of contact for external visitors and callers.
- Handle expense reports, maintain organized documentation, and manage confidential records securely.

Talent Acquisition





- Own the entire hiring process—from drafting and posting job openings on platforms like LinkedIn and Naukri to managing applicant flow.
- Actively source candidates through LinkedIn searches, Naukri databases, recruitment agencies, and referrals.
- Screen CVs against role requirements, conduct initial telephonic interviews, and shortlist suitable candidates for hiring managers.
- Coordinate interview schedules across senior leadership calendars, maintain candidate engagement, and gather feedback.
- Manage offer rollouts, support negotiations, conduct reference and background checks, and facilitate smooth onboarding processes.
- Maintain a live database of candidates and provide regular pipeline updates to the MD and CEO.
- Manage relationships with recruitment vendors, including consultants, job portals, and background verification agencies.
