Job Overview :
The PMO Specialist – PMO Governance is responsible for driving PMO governance, portfolio reporting, process excellence, compliance, and continuous improvement initiatives across the Global PMO. The role partners with Project Managers, Delivery Leadership, and cross-functional stakeholders to ensure governance standards, reporting accuracy, portfolio visibility, and operational excellence are consistently achieved.
The position independently owns assigned PMO initiatives, governance transformation projects, reporting automation, and PMO maturity improvements while providing functional guidance, knowledge sharing, and governance support across the PMO team. The role enables executive decision-making through accurate portfolio insights, governance compliance, risk visibility, and standardized PMO practices.

Key Responsibilities
- Lead implementation and continuous improvement of PMO governance standards, policies, templates, and project lifecycle processes.
- Ensure governance compliance across assigned projects and portfolios through regular governance reviews, documentation audits, and quality assurance activities.
- Own executive portfolio reporting, governance dashboards, KPI reporting, RAID reporting, and portfolio health analysis for leadership.
- Independently manage assigned PMO initiatives, governance transformation projects, reporting enhancements, and process improvement programs.
- Drive PMO maturity through process optimization, reporting automation, AI adoption, standardization, and operational excellence initiatives.
- Act as functional PMO lead by supporting workload planning, knowledge sharing, mentoring, and governance consistency across PMO team members.
- Administer and continuously improve PMO tools including Zoho, Jira, SharePoint, Power BI, MS Project, and reporting platforms.
- Design, maintain, and automate dashboards, governance reports, executive scorecards, and portfolio analytics.
- Monitor project compliance with organizational governance standards, internal controls, ISO, CMMI, and audit requirements.
- Facilitate governance meetings, portfolio reviews, steering committee reporting, and executive governance forums.
- Track project risks, issues, dependencies, actions,
and governance exceptions while ensuring timely escalation and closure.
- Collaborate with Finance, Delivery, HR, Quality, Operations, and Business stakeholders to improve governance effectiveness.
- Maintain PMO repositories, governance documentation, SOPs, lessons learned, and organizational knowledge assets.
- Support onboarding, cross-training, succession planning, and capability development across PMO functions.
- Recommend strategic improvements that enhance delivery governance, reporting efficiency, stakeholder visibility, and organizational PMO maturity.

- Facilitates governance meetings and executive reporting forums.
- Influences governance adoption through collaboration, reporting insights, and process improvements.
- Drives alignment across multiple business functions to improve portfolio governance and delivery performance.
- Provides functional guidance and governance support to PMO team members.
Education & Certification Requirements
Mandatory
- Bachelor’s degree in business administration, Engineering, IT, Operations, or related field
Preferred
- Lean / Six Sigma preferred
Experience Requirements
- 5-6 years of experience in PMO Governance, Portfolio Management Office, Project Governance, or PMO Operations.
- Experience supporting enterprise-level project portfolios and governance frameworks.
- Strong experience in executive reporting, dashboarding, KPI reporting, and portfolio analytics.
- Experience implementing PMO process improvements, governance standardization, and reporting automation.
- Exposure to PMO maturity models, governance audits, ISO/CMMI environments, and operational excellence initiatives.
- Hands-on experience with Zoho, Jira, MS Project, Power BI, SharePoint, and reporting platforms.
- Experience facilitating governance forums and collaborating with senior leadership.
- Experience mentoring team members or providing functional leadership is highly desirable.
