About the Role

We are looking for a proactive and detail-oriented Vendor Relationship Coordinator to join our Purchase Department.

The role will be responsible for managing vendor relationships, coordinating purchase requirements, tracking orders and deliveries, and ensuring smooth communication between external vendors and internal departments.

The ideal candidate should have strong coordination and follow-up skills, attention to detail, and a good understanding of the Gems & Jewellery industry.

Key Responsibilities

1. Vendor Coordination

- Act as the primary point of contact for assigned vendors.
- Communicate purchase requirements, specifications, and timelines.




- Maintain skilled and productive vendor relationships.

2. Purchase Order Management

- Assist in preparing and processing Purchase Orders (POs).
- Track PO status and ensure timely delivery.
- Maintain proper purchase-related documentation.

3. Cross-Department Coordination

- Coordinate with Accounts, Production, Stores, Design, and other departments.
- Ensure purchase requirements and specifications are clearly communicated.
- Follow up internally to ensure smooth procurement workflows.

4. Vendor Performance Monitoring

- Track vendor performance based on:

- Quality

- Cost

- Delivery timelines

- Service standards
- Escalate recurring vendor issues to management.

5. Documentation & Record Keeping

- Maintain updated vendor master data and records.
- Maintain quotations, POs, invoices, delivery schedules, and related documents.
- Ensure procurement records are accurate and up to date.

6. Follow-ups & Issue Resolution

- Regularly follow up with vendors for pending orders and deliveries.
- Identify and resolve delivery, quantity, quality, or documentation discrepancies.
- Coordinate with relevant internal teams to close issues promptly.

7. Vendor Evaluation & Development

- Support vendor onboarding and documentation.
- Assist in price negotiations and commercial discussions.
- Participate in periodic vendor evaluations and reviews.
- Support the development of reliable and cost-effective vendor relationships.

Key Skills & Qualifications

- Bachelor's degree in Supply Chain, Business Administration, Procurement, or a related field.
- 1–3 years of experience in vendor management, purchase coordination, procurement, or a related role.
- Prior experience in the Gems & Jewellery industry is preferred/required.
- Strong vendor coordination, communication, and negotiation skills.
- Good knowledge of MS Excel, MS Office, and ERP/procurement software.
- Strong follow-up and problem-solving abilities.
- Highly organized and detail-oriented.
- Ability to manage multiple vendors and priorities simultaneously.
- Ability to build and maintain strong relationships with vendors and internal stakeholders.
