Role Summary

Prayoga is looking for a competent, detail-oriented Manager / Senior Analyst to lead the Project Management Office. This role goes beyond reporting — it is the operational backbone that connects programmes, departments, and leadership through clear guidelines, reliable data, sound governance, and disciplined use of the organisation's ERP system. The ideal candidate brings strong operations and project management experience, is fluent working with data and systems end-to-end, and can drive process and financial discipline across a growing, multi-programme non-profit.

Key Responsibilities

Operational Guidelines & Policies

• Design, document, and maintain operational guidelines, SOPs, and policies for the PMO and across the organisation.

• Develop KRAs and KPIs at the project, department, and organisation level.

• Establish review cadences and templates (project charters, status reports, dashboards) that standardise how work is planned and tracked.

• Periodically review and update policies to reflect organisational growth, new programmes, and lessons learned.

Data Aggregation, Governance & Analysis

• Aggregate data from across programmes, departments, and field teams into a single, reliable source of truth, primarily through the organisation's ERP.

• Define common data standards, definitions,



and taxonomies so that information from different departments is comparable and trustworthy.

• Analyse operational and programme data to assess effectiveness and efficiency, surfacing trends, gaps, and risks.

• Prepare regular MIS reports, dashboards, and briefing notes for the Executive Chairman and leadership team.

• Translate data findings into explicit, actionable recommendations that inform decision-making and resource allocation.

Budget & Resource Management

• Track project and departmental budgets against actuals within the ERP; flag variances early.

• Monitor utilisation of donor and grant funds to support timely, accurate compliance reporting.

Risk & Governance

• Maintain a risk register and escalation framework across projects; flag risks to leadership before they become blockers.

• Run structured governance cadences (monthly/quarterly reviews) and prepare leadership- and board-ready reporting packs.

• Support audit readiness by ensuring project documentation and approvals are complete and traceable.

Systems Ownership (ERP)

• Act as the PMO's power user/champion for the organisation's ERP system, particularly its project, budget, and reporting modules.

• Configure ERP reports and dashboards to automate recurring MIS outputs, reducing manual data pulls.

• Partner with IT/ERP administrators to resolve data issues, extend ERP usage, and roll out new modules relevant to PMO needs.

• Train programme and department teams on correct, consistent ERP usage to keep organisation-wide data clean at the source.





Process Improvement & Change Management

• Identify inefficiencies in existing workflows and lead process redesign or improvement initiatives.

• Drive adoption of new processes, templates, and systems across teams through training and change management.

• Work closely with the Monitoring & Evaluation function to align PMO KPIs with programme impact metrics.

Required Experience & Qualifications

• Bachelor's degree required; MBA or equivalent postgraduate qualification in operations, management, or a related field preferred.

• 5–8+ years of experience in operations and project/programme management, ideally including exposure to a PMO function.

• Demonstrated experience developing operational guidelines, SOPs, or policy frameworks, and setting KRAs/KPIs.

• Strong experience working with data — collecting, consolidating, and analysing information from multiple sources to drive decisions.

• Hands-on experience with ERP systems (e.g., SAP, Oracle NetSuite, Zoho, Odoo, or similar) is strongly preferred, including configuring reports/dashboards and training users; familiarity with standalone PM tools (Asana, Monday, Notion, etc.) is a plus but secondary to ERP fluency.

• Working knowledge of budgeting, financial tracking, or grant/donor reporting is an advantage.

• Excellent written and verbal communication skills; ability to present data and recommendations clearly to leadership.
