Job Title: Project Coordinator – Solar Projects
Designation: Project Coordinator
Department: Project Management / Project Execution – Solar EPC
Reporting To: Project Manager / Construction Manager / Head – Projects
Job Summary The Project Coordinator is responsible for supporting the planning, coordination, execution, and monitoring of solar EPC projects from project kick-off through commissioning and handover. The role serves as a central point of coordination between engineering, procurement, construction, quality, HSE, logistics, subcontractors, and clients to ensure projects are delivered safely, on time, within budget, and in accordance with contractual and quality requirements.
Key Responsibilities
- Coordinate project activities across engineering, procurement, construction, logistics, quality, and commissioning teams.
- Assist the Project Manager in planning and executing solar EPC projects.
- Track project milestones, deliverables, and key performance indicators.
- Ensure timely communication and coordination among internal teams, subcontractors, suppliers, consultants, and clients.
- Monitor project schedules and escalate potential delays or risks to the Project Manager.
Planning & Progress Monitoring
- Maintain project trackers for engineering deliverables, procurement status, material deliveries, construction progress, and commissioning activities.
- Coordinate with Planning Engineers to monitor project schedules and progress against baseline plans.
- Support preparation of recovery plans for schedule deviations.
- Prepare daily, weekly, and monthly progress reports and dashboards.
Documentation & Reporting
- Maintain project documentation, including contracts, drawings, approvals, inspection records, RFIs, submittals, and correspondence.
- Ensure proper document control and version management.
- Prepare meeting agendas, record minutes of meetings (MOM), and follow up on action items.
- Support project close-out activities, including preparation of as-built documentation, completion dossiers, and handover packages.
Procurement & Logistics Coordination
- Coordinate with procurement teams to track purchase orders, vendor deliveries, and material availability.
- Monitor logistics and site material movements to support uninterrupted construction activities.
- Follow up with suppliers and vendors to ensure timely delivery of project materials and equipment.
Stakeholder Management
- Act as a communication link between project teams, clients, consultants, subcontractors, and management.
- Coordinate client meetings and ensure timely resolution of project-related issues.
- Support the Project Manager in preparing client presentations and project status updates.
Cost & Resource Coordination
- Assist in monitoring project budgets, commitments, and resource utilization.
- Coordinate manpower deployment and equipment mobilization as required.
- Support cost tracking and project forecasting activities.
Compliance & Quality
- Ensure project documentation complies with company procedures and contractual requirements.
- Coordinate with QA/QC and HSE teams to monitor inspections, audits, and compliance activities.
- Support implementation of corrective and preventive actions arising from quality or safety observations.
Required Qualifications
- Bachelor's Degree in Engineering (Electrical, Mechanical, Civil, or Renewable Energy) or Project Management.
- 2–6 years of experience in project coordination, preferably within solar EPC, renewable energy, power, infrastructure, or construction projects.
- Experience supporting utility-scale, commercial, or industrial solar projects is preferred.
Technical Skills
- Knowledge of solar EPC project lifecycle and construction processes.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Working knowledge of Primavera P6 or Microsoft Project is desirable.
- Familiarity with project documentation, scheduling, and reporting.
- Experience using ERP or project management systems (SAP, Oracle, or equivalent) is an advantage.
- Ability to read engineering drawings and project documentation is beneficial.
