PAYROLL MANAGER

Department: Human Resources / PayrollReports To: Head of HR / HR DirectorLocation: As per business requirementEmployment Type: Full-TimeJob Summary The Payroll Manager owns end-to-end payroll for the organization accurate, timely, compliant salary processing, statutory compliance (TDS, PF, ESI, PT, LWF), audits and reporting, vendor management, and process automation while acting as the key point of contact for payroll escalations and coordination with Finance and HR.

Key Responsibilities

Pre-Payroll: verify payroll software is functioning correctly; ensure attendance data is accurately captured and synced.

Payroll Processing: oversee end-to-end payroll processing for accuracy and timely disbursement; manage salary revisions, bonuses, incentives, night shift allowance, arrears; track attendance; ensure accurate TDS/PF/ESI/PT/LWF computation; reconcile with Finance; prepare and recheck account/bank advice; ensure correct loan and statutory deductions; continuously improve processes; resolve payroll escalations.

¢ Post-Payroll (Leave &

- Bonus): verify leave balances and encashment/carry-forward; recheck leave and bonus provisions prepared by the team.

¢ Process Improvement &

- Automation: drive payroll automation initiatives; partner with HRMS/payroll teams on system enhancements; ensure data security and confidentiality of payroll records.

¢ Audit &

- Reporting: generate and review monthly/quarterly/annual payroll reports for management; respond to auditor queries and ensure documentation is audit-ready.





¢ TDS Computation &

- Documentation: manage tax declarations and investment proof verification; prepare Form 24Q and file TDS returns online; stay current on tax law and labour regulation changes.

¢ Vendor Management: handle manpower vendor documentation; manage invoices and compliance; release payments and follow up on dues.

¢ Compliance: ensure correct statutory deductions (PF, ESIC, LWF, PT); ensure minimum-wage compliance for employees and vendor staff with HR.

¢ Other Activities: monitor statutory compliance; manage ad-hoc payroll adjustments; conduct employee training on tax declarations, payroll policy, and compliance.

¢ Annual Activities: issue Form 16; prepare the annual payroll calendar; conduct HRMS annual audit/data clean up and vendor compliance review; support the annual appraisal, increment and promotion cycle.

Key Skills &

- Qualifications

¢ Bachelor's/Master's degree in Commerce, Finance, HR or related field; 5+ years in payroll management with proven end-to-end ownership.

¢ Strong knowledge of payroll statutory compliance (TDS, PF, ESI, PT, LWF, minimum wages) and income tax provisions for salaried employees.

¢ Hands-on experience with payroll/HRMS software and automation tools; strong analytical skills and attention to detail.

¢ Excellent stakeholder management across HR, Finance and vendors; robust organizational skills to manage monthly deadlines; high integrity in handling confidential data.
