Job Overview

We are looking for a proactive and detail-oriented Institutional Supply & Tender Executive to manage end-to-end tendering and institutional supply operations. The ideal candidate should have hands-on experience in government and private tender management, strong knowledge of e-tendering platforms, and the ability to coordinate with multiple departments to ensure timely and compliant tender submissions.

Key Responsibilities

- Search, identify, and evaluate relevant government, institutional, and private tenders through various procurement portals.

- Prepare, review, and submit technical and commercial tender documents within specified timelines.

- Manage complete tender documentation while ensuring accuracy and compliance with eligibility criteria and tender requirements.

- Coordinate with internal teams to obtain required documents, certifications, approvals, pricing, and technical information.

- Upload bids on e-tender portals such as GeM, CPPP, and State e-Procurement portals, and resolve portal-related issues whenever required.

- Track tender schedules, bid openings, award status, and follow up on submitted tenders.

- Prepare quotations, BOQs, commercial proposals, and cost sheets as per tender specifications.

- Coordinate with customers, procurement departments, and government authorities to address tender-related queries.

- Maintain a comprehensive database of active, upcoming, submitted, and awarded tenders.

- Process institutional orders after tender award and coordinate with the supply chain, warehouse, and logistics teams for timely execution.

- Monitor contract validity, Earnest Money Deposits (EMD), Performance Bank Guarantees (PBG),



Security Deposits, and other compliance requirements.

- Prepare MIS reports and regular updates on tender activities for management review.

- Ensure timely renewal of registrations, licenses, statutory documents, and certifications required for tender participation.

- Collaborate with Sales, Finance, Regulatory, and Logistics teams to ensure seamless execution of institutional business.

Required Skills & Qualifications

- Bachelor's degree in any discipline (MBA or relevant qualification will be an added advantage).

- 2–5 years of experience in Institutional Sales, Tender Management, or e-Tendering.

- Strong knowledge of government procurement processes and e-tendering platforms, including GeM, CPPP, and State e-Procurement Portals.

- Good understanding of tender documentation, commercial bids, compliance requirements, and institutional procurement.

- Proficiency in Microsoft Excel, Word, and PowerPoint.

- Solid analytical, documentation, and organizational skills.

- Excellent communication, coordination, and negotiation abilities.

- Ability to handle multiple tenders simultaneously while meeting strict deadlines.

- High attention to detail and commitment to documentation accuracy.

Preferred Candidate Profile

- Experience in the Pharmaceutical, Healthcare, Medical Devices, or FMCG industry will be preferred.

- Familiarity with institutional supply processes and government procurement regulations.

- Self-motivated, responsible, and capable of working independently with minimal supervision.

Pay: ₹30,028.83 - ₹50,528.23 per month
