Role Overview We are hiring an HR Executive to own the people engine of a growing services business — from high-volume hiring and sourcing through to timesheet compliance, documentation, and policy. This is a delivery-focused HR role: our business runs on billable hours and bench management, so accuracy in timesheets and speed in hiring are directly tied to revenue.
This role reports directly to the CEO and operates fully remote — meaning high autonomy, direct influence on how the company hires and runs its people processes, and the expectation that you will drive the function rather than wait to be directed. The right person is organised, process-driven, personable, and comfortable running twenty hiring pipelines and a payroll input cycle in the same week.
Key Responsibilities
- Talent Acquisition & Sourcing
- Own end-to-end recruitment for technical and non-technical roles across multiple business units.
- Manage high-volume hiring — build and maintain a live pipeline sufficient to meet monthly headcount and client-mandated ramp-up targets.
- Proactively source candidates through Naukri, LinkedIn Recruiter, Indeed, job boards, employee referrals, campus drives, and consultant/vendor networks.
- Build and maintain a talent pool for recurring and anticipated roles so hiring is never reactive.
- Screen profiles, conduct initial HR rounds, assess culture and compensation fit, and shortlist for technical panels.
- Own the interview process end to end — coordinate panel availability, schedule interviews, share candidate briefs, chase feedback, and ensure no candidate or interviewer is left waiting.
- Manage offer negotiation, offer roll-out, and candidate engagement through to joining to minimise drop-offs and no-shows.
- Coordinate with external recruitment agencies and staffing vendors; track their performance and cost-per-hire.
- Track and report recruitment metrics: time-to-fill, time-to-hire, offer-to-join ratio, source effectiveness, and pipeline conversion.
- Timesheet & Workforce Administration
- Own the timesheet process end to end — issuance, submission tracking, follow-up, validation, and approval closure within cycle deadlines.
- Reconcile timesheets against project allocations, leave records, and client billing requirements.
- Flag under-reporting, over-reporting, and unbilled hours to Delivery and Finance.
- Provide clean, verified timesheet and attendance inputs to Payroll every cycle, on time and without rework.
- Maintain accurate records of leave, attendance, shift schedules, and comp-offs.
- Support bench tracking and utilisation reporting in coordination with the PMO and Delivery teams.
- Onboarding, Documentation & Paperwork
- Manage pre-joining formalities: document collection, background verification, and reference checks.
- Draft and issue offer letters, appointment letters, confirmation letters, transfer letters, increment letters, relieving letters, and experience certificates.
- Run structured onboarding and induction so new joiners are productive from week one.
- Maintain complete, audit-ready personnel files — both physical and in the HRMS.
- Manage HRMS/HRIS data hygiene (Zoho People, Keka, Darwinbox, GreytHR, BambooHR, or equivalent).
- Manage exit formalities: resignation acceptance, notice period, clearance, full-and-final settlement inputs, and exit interviews.
- Policy, Compliance & Governance
- Draft, review, and roll out HR policies — leave, attendance, WFH/hybrid, travel, POSH, code of conduct, disciplinary, and IT/data usage.
- Maintain and update the employee handbook; communicate policy changes clearly across the organisation.
- Ensure compliance with applicable labour laws and statutory requirements (PF, ESI, gratuity, professional tax, shops & establishments, POSH Act).
- Support internal and client audits, including ISO / SOC 2 / client-mandated HR documentation requirements.
- Administer the POSH committee process and maintain required records and training compliance.
- Employee Relations & Engagement
- Serve as the first point of contact for employee queries on policy, payroll, leave, and documentation.
- Handle grievances with discretion and escalate appropriately.
- Coordinate performance appraisal cycles — goal setting, review scheduling, documentation, and outcome letters.
- Plan and execute engagement initiatives, recognition programmes, and internal communications to support retention.
- Track and analyse attrition; contribute insights to retention planning.
Required Skills & Qualifications
- Must Have - Bachelor's degree in any discipline; MBA/PGDM in HR preferred.
- 2–4 years of HR experience,
ideally in an IT services, consulting, staffing, or BPO environment.
- Proven experience in volume hiring and active sourcing, not just coordination.
- Hands-on experience with timesheet management and payroll input preparation.
- Working knowledge of Indian labour laws and statutory compliance.
- Strong drafting skills — able to write clean policies, letters, and communications independently.
- Proficiency in MS Excel/Google Sheets (VLOOKUP, pivot tables, basic reporting) and HRMS platforms.
- Excellent interpersonal, communication, and stakeholder management skills.
- High level of confidentiality, integrity, and attention to detail.
- Proven self-management in a remote setting — reliable connectivity, a professional working workplace, and strong async communication habits.
- Good to Have - Experience using an ATS (Zoho Recruit, Lever, Greenhouse, Naukri RMS).
- Exposure to client-side onboarding and background verification protocols.
- Understanding of bench management, billability, and resource utilisation in a services model.
- Experience supporting HR audits or certification processes.
- Certification such as SHRM-CP, HRCI, or an equivalent HR qualification.
