Job Purpose The HR Executive will be responsible for managing day-to-day HR operations, employee lifecycle activities, recruitment, attendance, payroll coordination, employee engagement, statutory compliance, documentation, and employee relations while ensuring adherence to company policies and applicable labour laws.
1. Key ResponsibilitiesA. Recruitment & Staffing
- Handle end-to-end recruitment for assigned positions.
- Understand manpower requirements from department heads.
- Prepare and publish job descriptions and job advertisements.
- Source candidates through job portals, LinkedIn, referrals, consultants, and other recruitment channels.
- Screen resumes and conduct initial interviews.
- Coordinate technical and management interviews.
- Prepare interview evaluation reports and maintain recruitment trackers.
- Coordinate offer release, salary negotiation, background verification, and joining formalities.
- Maintain recruitment MIS and monitor time-to-fill positions.
B. Employee Onboarding & Documentation
- Coordinate joining formalities and induction programs.
- Collect and verify employee documents.
- Maintain employee personal files and HR records.
- Ensure completion of employee forms, confidentiality agreements, policies, and declarations.
- Coordinate employee ID cards, attendance setup, system access, and other joining requirements.
- Explain company policies, leave rules, attendance requirements, and code of conduct to new employees.
C. Attendance, Leave & Payroll Coordination
- Monitor daily attendance, late coming, absenteeism, overtime, and shift attendance.
- Maintain leave records and coordinate leave approvals.
- Verify monthly attendance and payroll inputs.
- Coordinate salary-related inputs such as new joiners, exits, increments, deductions, overtime, incentives, and loss of pay.
- Identify attendance irregularities and take corrective action in coordination with managers.
- Ensure employees follow the company's approved attendance and leave systems.
D. Employee Relations
- Address employee queries and HR-related concerns.
- Handle employee grievances professionally and confidentially.
- Support disciplinary processes for absenteeism, misconduct, policy violations, and performance issues.
- Prepare warning letters,
show-cause notices, disciplinary communications, and other HR correspondence when required.
- Maintain proper records of employee relations cases.
- Promote positive employee relations and a professional workplace culture.
E. HR Operations & Compliance
- Maintain accurate and up-to-date employee master data.
- Maintain personnel files and HR documentation.
- Support compliance related to PF, ESI, PT, bonus, gratuity, minimum wages, working hours, leave, and other applicable labour requirements.
- Coordinate with statutory consultants and government authorities whenever required.
- Maintain statutory registers, notices, returns, and compliance records as applicable.
- Support internal and external HR audits.
- Ensure HR processes are implemented according to company policies and SOPs.
F. Performance Management
- Coordinate probation confirmation processes.
- Support performance appraisal and increment processes.
- Track employee performance review timelines.
- Coordinate performance improvement plans where required.
- Maintain performance-related documentation.
G. Training & Employee Development
- Identify training requirements in coordination with department heads.
- Coordinate employee training programs and maintain training records.
- Support induction and orientation programs.
- Collect training feedback and maintain training MIS.
H. Exit & Full & Final Settlement
- Manage resignation and employee exit formalities.
- Conduct exit interviews and document feedback.
- Coordinate notice period compliance.
- Coordinate clearance from relevant departments.
- Prepare and verify full & final settlement inputs.
- Coordinate issuance of relieving letters, experience letters, and other exit documents as per company policy.
- Ensure company assets, documents, ID cards, access cards, SIMs, tools, laptops,
and other company property are returned before closure of exit formalities.
I. HR MIS & Reporting Prepare and maintain regular HR reports, including:
- Headcount report
- Attendance and absenteeism report
- Attrition report
- Recruitment tracker
- Joining and exit report
- Leave report
- Overtime report
- Payroll input sheet
- Manpower status report
- Employee grievance tracker
- Training MIS
- Statutory compliance tracker
1. Key Skills Required
- Positive knowledge of HR operations and employee lifecycle management.
- Strong recruitment and sourcing skills.
- Knowledge of attendance and payroll processes.
- Basic knowledge of Indian labour laws and statutory compliance.
- Good employee relations and grievance-handling skills.
- Strong communication and interpersonal skills.
- Good MS Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, IF formulas, and basic HR MIS.
- Ability to maintain confidentiality of employee information.
- Strong documentation and follow-up skills.
- Ability to work independently and coordinate with multiple departments.
1. Qualification
Education:
- MBA/PGDM in Human Resources preferred.
- Bachelor's degree in any discipline with relevant HR experience may also be considered.
Experience:
- 2–5 years of experience in HR Operations.
- Manufacturing industry experience will be an advantage.

1. Preferred Candidate Profile
The ideal candidate should be hands-on, disciplined, approachable, process-oriented, and strong in HR documentation and employee handling. The candidate should be comfortable working in a fast-paced manufacturing environment and coordinating with production, sales, finance, administration, and management teams. Pay: ₹17,000.00 - ₹20,000.00 per month
