Role Description The Fleet Coordinator is a part time remote role responsible for overseeing the scheduling, deployment, and operational status of vehicles and related transport resources supporting Board activities and affiliated institutions. This role includes monitoring fleet availability, coordinating transport for meetings and events, maintaining accurate records of usage, and ensuring compliance with established safety and operational guidelines.

The Fleet

Coordinator will collaborate with internal teams and external partners to optimize routes, manage bookings, and anticipate logistical needs for both routine and special assignments. Daily tasks involve updating tracking systems, preparing reports on fleet utilization and performance, and communicating clearly with stakeholders to resolve issues and minimize disruptions. The position requires proactive planning, strong organizational skills, and the ability to work independently across time zones.

Qualifications

- Demonstrated experience in fleet coordination, transport logistics, or operations support, preferably in an international or mission-driven organization.




- Strong organizational and time-management skills, with the ability to manage multiple requests, schedules, and priorities in a remote setting.
- Proficiency with digital tools and systems used for scheduling, tracking, and reporting (e.g., spreadsheets, fleet management or logistics software).
- Clear and professional written and verbal communication skills, with the ability to collaborate effectively across diverse teams and cultures.
- Attention to detail and accuracy in record-keeping, documentation, and compliance with safety and operational procedures.
- Ability to work independently, exercise sound judgment, and solve problems in a dynamic environment with limited supervision.
- Familiarity with UN processes or international organizations is an advantage; experience supporting science or research-focused initiatives is beneficial.
- Relevant education or training in logistics, operations management, transportation, or a related field is preferred.
