Finance, Legal & Cost Accounting Manager

Role Purpose The Finance, Legal & Cost Accounting Manager will strengthen Tranquil’s financial control, payment recovery, management reporting, costing systems, profitability analysis, and commercial documentation. This is a hands-on, action-oriented role requiring strong follow-up, customer communication, analytical ability, commercial understanding, rapid decision-making, and team leadership.
- Receivables and Payment Recovery
- Monitor customer outstanding payments, ageing, credit periods, and overdue accounts.
- Follow up continuously with salespersons for collection updates, customer commitments, and closure dates.
- Directly communicate with customers when payments are delayed, disputed, or stuck.
- Identify the exact reason for non-payment and coordinate with concerned departments for immediate resolution.
- Prepare customer-wise and salesperson-wise recovery plans and review them regularly.
- Document payment commitments and track them until funds are realized.
- Escalate critical overdue accounts to senior management with explicit recommended actions.
- Take quick and appropriate action on long-pending receivables to reduce debtor days and improve cash flow.
- Coordinate reconciliations, credit notes, debit notes, invoice corrections, documentation, and other matters affecting payments.
- Support legal recovery proceedings wherever required.
2. MIS and Financial Reporting
- Create, maintain, and improve management information systems for all important financial and commercial areas.
- Ensure accurate, structured, and updated data is available in Excel or approved software.
- Develop standardized formats, trackers, dashboards, and review templates.
- Prepare daily, weekly, and monthly MIS reports covering sales, collections, receivables, ageing, cash flow, expenses, margins, profitability, inventory, credit exposure, and budget versus actuals.
- Analyse financial data and present clear observations,
risks, exceptions, and recommended actions to management.
- Highlight leakages, negative margins, delayed collections, unusual expenses, and operational deviations.
- Ensure all reports are accurate, timely, and easy for management to review.
3. Cost Accounting and Profitability Improvement
- Develop and maintain product-wise and project-wise costing systems.
- Calculate actual cost of products, projects, installation, labour, transportation, wastage, and overheads.
- Compare standard costing with actual costing and analyse variances.
- Identify cost leakages and recommend corrective actions to improve gross margins.
- Evaluate customer-wise, product-wise, project-wise, branch-wise, and salesperson-wise profitability.
- Create minimum margin benchmarks and support quotation or order reviews for major projects.
- Recommend pricing revisions and control uncontrolled discounts.
- Conduct break-even, contribution, and make-or-buy analysis.
- Track the financial impact of rework, rejection, wastage, delays, claims, and installation issues.
- Create systems to prevent loss-making or low-margin orders.
4. Commercial and Legal Coordination
- Review commercial terms in quotations, purchase orders, work orders, contracts, and customer agreements.
- Identify risky payment terms, penalty clauses, retention clauses, warranty obligations, and other unfavourable conditions.
- Maintain proper records of contracts, purchase orders, payment terms, and customer commitments.
- Coordinate with external legal consultants for notices, recovery matters, disputes, contracts, and documentation.
- Prepare supporting documents for legal recovery and assist in payment reminders, demand letters, legal notices, and settlements.
- Track all ongoing legal and recovery cases and ensure timely action.
- Support management in commercial negotiations and settlement decisions.
- Ensure every legal and commercial action is properly documented.
5. Cash Flow and Working Capital Management
- Prepare daily, weekly, and monthly cash-flow projections.
- Monitor expected collections and planned payments.
- Plan vendor payments, salaries, statutory liabilities, and operational expenses.
- Monitor receivables, payables, inventory, advances, retentions,
and other working-capital elements.
- Recommend actions to improve the cash conversion cycle.
- Monitor customer credit limits, payment histories, and exceptions requiring approval.
6. Budgeting and Financial Planning
- Support annual and departmental budgeting.
- Track actual performance against budgets and analyse deviations.
- Prepare forecasts for sales, expenses, collections, profitability, and cash flow.
- Support management in business planning and financial decision-making.
- Evaluate the financial feasibility of new products, branches, investments, and business initiatives.
7. Team Handling and Interdepartmental Coordination
- Lead and manage the Finance and Accounts team.
- Allocate responsibilities, define timelines, and review completion daily, weekly, and monthly.
- Train team members on systems, reporting formats, reconciliations, documentation, and controls.
- Ensure accountability and timely closure of assigned work.
- Coordinate closely with Sales, Customer Service, Procurement, Production, Logistics, Execution, Projects, HR, Administration, auditors, and consultants.
- Resolve issues quickly instead of allowing them to remain pending.
- Build a disciplined, responsive, and performance-oriented finance function.
8. Financial Controls and Process Improvement
- Establish controls to prevent errors, leakages, duplicate payments, unauthorized expenses, and misuse of funds.
- Create approval matrices, responsibility structures, and standard financial formats.
- Ensure timely reconciliations of customers, vendors, banks, inventory, advances, and ledgers.
- Improve the use of Excel, ERP, accounting software, and dashboards.
- Reduce dependency on manual, scattered, or unstructured information.
- Ensure every major financial transaction has proper supporting documentation.
- Support internal audits, statutory audits, and management audits.
