Job Title: Facilities and Office Admin Manager
Location: Hyderabad
Years of Experience: Minimum 10+ Yrsof experience in facilities management, office administration, or operations.
I. Job Summary:
The Facilities and Office Admin Manager is responsible for overseeing end-to-end office operations, ensuring a smooth, secure, and efficient work environment for employees. The role involves managing transport, vendor services, infrastructure, and facility operations while ensuring compliance, cost optimization, and high service standards. The candidate will act as a key point of coordination between employees, vendors, and leadership, ensuring seamless day-to-day operations and continuous improvement in workplace experience.
II. Roles & Responsibilities:
- Transport & Support Staff Management:
- Manage employee transport operations and office vehicle logistics.
- Handle 24/7 transport-related queries and escalations.
- Supervise transport coordinator and support staff (security, housekeeping, pantry).
- Ensure discipline, efficiency, and service reliability across support teams.
- Event & Training Coordination:
- Organize internal events such as townhalls, festivals, and celebrations.
- Manage logistics and procurement for training programs.
- Office & Facility Management:
- Oversee daily office operations including seating, housekeeping, pantry, and stationery.
- Ensure workplace cleanliness, safety, and operational efficiency.
- Maintain security protocols to prevent unauthorized access.
- Manage office records and documentation for audit purposes.
- Vendor & Invoice Management:
- Coordinate with procurement for vendor services (housekeeping, vending machines, etc.).
- Ensure timely and quality service delivery by third-party vendors.
- Manage vendor performance and service compliance.
- Maintenance & Infrastructure:
- Oversee facility maintenance including electrical, plumbing, and repairs.
- Ensure adherence to safety standards and compliance requirements.
- Conduct fire drills and ensure building/parking rules are followed.
- Operations Monitoring & Reporting:
- Conduct daily walkthroughs and audits of facilities.
- Track and resolve operational issues with defined timelines.
- Maintain checklists and ensure adherence to schedules.
- Prepare reports on KPIs, operational efficiency, and improvements.
- Audit & Compliance Activities:
- Perform weekly/monthly audits of cafeteria, workstations, pantry, and infrastructure.
- Monitor preventive maintenance schedules (UPS, batteries, etc.).
- Maintain documentation for compliance and audit readiness.
- Coordination & Communication:
- Act as a liaison between employees, vendors, and leadership.
- Resolve admin-related issues proactively and efficiently.
- Ensure high employee satisfaction through prompt support.
- Cost Management:
- Optimize operational costs through vendor negotiations.
- Manager budgets aligned with organizational financial goals
III. Educational Qualification & Certifications (Optional):
- Bachelor s degree in Business Administration, Logistics, Supply Chain Management, or related field.
IV. Skill Set Required:
Must Have:
- Robust experience in Facilities Management & Office Administration
- Experience managing transport operations and vendor coordination
- Knowledge of workplace safety standards and compliance
- Strong team handling and leadership skills
- Experience in audit, documentation, and reporting
- Excellent problem-solving and decision-making abilities
- Strong communication and stakeholder management skills
- Ability to handle multiple tasks under pressure
- High attention to detail and organizational skills
Nice to Have:
- Experience working in GCC or enterprise environments
- Exposure to SEZ compliance and material handling processes
- Experience in cost optimization and budget management
- Ability to work in flexible shifts or extended hours if required
