Payroll Processing Specialist
Job Title: Payroll Assistant Manager/Manager
Department: Human Resources
Reporting to: HR Manager /AVP Human Resources
Location: Pune Camp Area
Job Summary The Payroll Executive is responsible for ensuring accurate and timely payroll processing, maintaining employee payroll records, ensuring statutory compliance, and coordinating with internal departments and external agencies. The role requires strong knowledge of payroll legislation, labour laws, statutory deductions, and HRMS/payroll systems.
Key Responsibilities
Payroll Management
- Process monthly payroll accurately and within defined timelines.
- Verify attendance, leave records, overtime, incentives, reimbursements, and salary revisions before payroll processing.
- Calculate earnings, deductions, bonuses, arrears, full & final settlements, and statutory contributions.
- Generate salary slips and payroll reports.
- Resolve employee payroll-related queries promptly.
- Ensure confidentiality and security of payroll information.
Statutory Compliance
- Ensure timely compliance with Provident Fund (PF), Employees' State Insurance (ESIC), Professional Tax (PT), Labour Welfare Fund (LWF), Tax Deducted at Source (TDS), and Income Tax regulations.
- Prepare and submit statutory returns within prescribed timelines.
- Coordinate with statutory authorities and consultants for compliance-related matters.
- Maintain statutory registers and documentation as per applicable labour laws.
- Stay updated with changes in labour laws, payroll regulations, and taxation.
Compliance & Documentation
- Maintain employee salary records, payroll master data, and statutory records.
- Support internal and external payroll audits.
- Ensure payroll complies with company policies and statutory requirements.
- Prepare MIS reports related to payroll costs, headcount, statutory payments, and employee compensation.
HRMS & Coordination
- Update employee master data in the HRMS.
- Coordinate with HR, Finance, and Accounts for payroll inputs and reconciliations.
- Support onboarding, exits, and full & final settlement processes.
- Maintain payroll documentation for audit and compliance purposes.
Required Skills
- Robust knowledge of payroll processing and payroll accounting.
- Thorough understanding of PF, ESIC, PT, LWF, TDS, Income Tax, Bonus Act, Gratuity Act, Payment of Wages Act, Shops & Establishments Act, and other applicable labour laws.
- Proficiency in MS Excel (VLOOKUP, Pivot Tables, XLOOKUP, IF formulas, data analysis).
- Experience with HRMS/Payroll software such as Keka, SAP, Oracle, or similar platforms.
- Robust analytical and numerical skills.
- Excellent attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to manage confidential information with integrity.
Qualifications
- Bachelor's Degree in Commerce, Finance, Human Resources, or a related field.
- Certification in Payroll or Labour Laws will be an added advantage.
Experience 7-10 years of experience in payroll administration and statutory compliance, preferably in the real estate, construction, or infrastructure industry.
