Academic Manager

Position Summary The Academic Manager will support the Dean Academic Office in the planning, coordination, and execution of academic administration activities. The role requires strong working knowledge of academic documentation and record-keeping, accreditation processes and compliance (such as NAAC, NBA, NIRF, UGC, or other applicable regulatory frameworks), and the ability to design and maintain dashboards and MIS reports for academic data and institutional performance tracking.

Key Responsibilities

Academic Documentation & Records

- Maintain, organize, and update academic records including curriculum documents, syllabi, course files, examination records, and faculty/student data.
- Ensure proper documentation of academic processes such as admissions, attendance, evaluation, results, and academic audits.
- Develop and maintain standardized templates, checklists, and SOPs for academic documentation across departments.
- Coordinate with departments/schools to ensure timely submission and accuracy of required academic documents.
- Maintain a centralized, version-controlled repository of academic policy documents, circulars, and minutes of academic committee meetings.

Accreditation & Compliance

- Lead and coordinate preparation of documentation for accreditation and ranking bodies (e.g., NAAC, NBA, NIRF, UGC, AICTE, or equivalent international/regional bodies).
- Track accreditation timelines, criteria, and evidence requirements; ensure departments compile and submit data within deadlines.




- Liaise with internal stakeholders (HoDs, IQAC, faculty coordinators) and external agencies/auditors during accreditation visits and audits.
- Maintain a continuously updated repository of accreditation-related evidence, self-study reports (SSR), and quality assurance records.
- Stay current with changes in regulatory and accreditation frameworks, and advise leadership on compliance gaps and corrective actions.

Dashboards, MIS & Analytics

- Design, build, and maintain dashboards for academic performance metrics (enrollment, attendance, results, faculty workload, accreditation KPIs, etc.).
- Consolidate data from multiple departments/systems into accurate, decision-ready reports for the Dean's Office and senior leadership.
- Use tools such as Excel, Power BI, Google Data Studio/Looker Studio, or similar to automate recurring academic reports.
- Identify data quality issues and work with departments to standardize data collection processes.
- Present dashboard insights and trends to leadership to support academic planning and decision-making.

General Academic Coordination

- Support the Dean Academic Office in organizing academic council, board of studies, and other statutory committee meetings, including agenda preparation and minute-taking.




- Assist in the planning and execution of the academic calendar, examinations, and convocation-related processes.
- Coordinate cross-functionally with admissions, examinations, IT, and individual departments to ensure smooth academic operations.
- Handle confidential academic data with discretion and in compliance with institutional data policies.

Required Qualifications & Experience

- Bachelor's or Master's degree in any discipline; a background in education administration, management, or a related field is preferred.
- 3–7 years of experience in academic administration, preferably in a higher education institution, with direct exposure to accreditation processes (NAAC/NBA/NIRF/UGC or equivalent).
- Demonstrated experience preparing documentation for institutional audits or accreditation visits.
- Hands-on experience building dashboards/reports using Excel (advanced), Power BI, or similar BI/analytics tools.
- Robust written communication skills for drafting reports, policy documents, and official correspondence.

Key Skills & Competencies
- Strong knowledge of academic documentation standards and recordkeeping practices.
- Working knowledge of accreditation frameworks and quality assurance processes in higher education.
- Proficiency in dashboard/MIS tools (Excel, Power BI, Google Sheets/Looker Studio, or similar).
- High attention to detail, accuracy, and ability to manage multiple deadlines.
- Strong organizational, coordination, and stakeholder management skills.
- Discretion in handling confidential institutional and student data.
- Ability to work independently as well as collaboratively across departments.
