Job Purpose To ensure efficient execution of dispatch operations in line with daily dispatch plans by coordinating with internal and external stakeholders, managing logistics activities, ensuring compliance with company policies and statutory requirements, and maintaining accurate dispatch documentation while adhering to safety, quality, and WCM standards.

Key Responsibilities Dispatch Planning & Execution

- Coordinate with Central Logistics to ensure timely availability of tankers/trucks as per daily dispatch plans.
- Arrange transportation for daily dispatch requirements and ensure adherence to schedules.
- Execute dispatch operations efficiently as per approved plans and standard operating procedures (SOPs).
- Provide timely dispatch information to customers and Central Logistics.

Loading & Quality Assurance

- Conduct inspection and quality checks of tankers/trucks before loading.
- Ensure safe and accurate loading of products from the manufacturing unit.
- Verify vehicle fitness and compliance with loading requirements and safety standards.

Inventory & Documentation Management

- Perform stock verification and reconciliation (Physical Stock vs. Book Stock).
- Ensure error-free dispatch documentation and compliance with dispatch procedures.
- Prepare and verify excise invoices, LRs,



statutory forms, and related shipping documents.
- Maintain documentation of sales tax forms, waybills, permits, and other regulatory records.

Logistics Coordination

- Liaise with transporters, logistics service providers, and local logistics companies for smooth dispatch operations.
- Monitor shipment movement and facilitate timely delivery to customers.
- Support tracking of shipments and coordination with logistics partners.

Compliance & Audits

- Ensure compliance with ISO standards, company policies, and statutory regulations related to dispatch operations.
- Participate in internal and external audits and maintain audit-ready documentation.
- Ensure compliance with Responsible Care initiatives, including Workplace, Health, Safety, and Security (EHS&S;) requirements.

Continuous Improvement

- Implement and sustain 5S practices within the dispatch office and operational areas.
- Contribute to process improvements, operational efficiency, and cost optimization initiatives.
- Support WCM (World Class Manufacturing) standards through disciplined execution and documentation.

Education & Experience Educational Qualifications

- Graduate in any discipline.
- Diploma/Certification in Material Management, Inventory Management, Supply Chain Management, or related field preferred.

Experience

- 4–6 years of experience in dispatch, logistics, or warehouse operations within the process chemical industry.
- Experience in handling bulk liquid/chemical dispatches will be preferred.

Functional Knowledge & Skills Technical Competencies

- Knowledge of dispatch, logistics, and transportation processes in the chemical industry.
- Understanding of export/import documentation and procedures.
- Knowledge of shipment and vessel tracking.
- Familiarity with inventory management and stock reconciliation practices.
- Knowledge of statutory documentation, excise procedures, waybills, and compliance requirements.

Systems & Tools

- Proficiency in MS Excel, MS Word, and related office applications.
- Working knowledge of ERP systems (SAP, Oracle, or equivalent).
- Experience with logistics and dispatch management systems is an added advantage.

Behavioural Competencies

- Strong coordination and stakeholder management skills.
- Attention to detail and documentation accuracy.
- Good communication and problem-solving abilities.
- Ability to work under deadlines and manage multiple priorities.
