Key Responsibilities:
Maintaining the reception area: Keeping the reception area tidy and presentable is essential. This includes organizing reading material; ensuring furniture is clean and in good condition.
Greeting and welcoming visitors: Responsible for welcoming all guests, clients, visitors as they arrive at the office or reception area and coordinate with them to ensure smooth meetings.
Answering phone calls: Handling incoming phone calls, forwarding calls to the appropriate individuals or departments, take messages, and provide general information to callers.
Handling couriers and parcels: Responsible in receiving and distributing couriers or parcels, making entry in records and ensuring the package reach the right recipients promptly.
Managing appointments and schedules: Schedule appointments for clients/visitors/conference room booking and coordinate with staff members to ensure smooth meetings.
Managing access: Responsible for control the access to the premises, ensuring only authorized personnel or visitors enter the office.
Assisting with administrative tasks:
Responsible for the administrative duties, such as data entry, filing, and preparing documents as guided.
Maintaining Employee Records: Helping to maintain and update employee records and databases, ensuring accuracy and confidentiality.
General HR Support: Providing general administrative support to the HR team, such as scheduling interviews, maintaining meetings, handling inquiries, maintaining hiring and removal formalities/documentation as guided.
Requirements:
• Proven working experience as a Front Office Executive/Receptionist, preferably in an IT Company or Hotel Industry.
• Proficient in Microsoft Office applications (MS word and MS excel)
• Excellent interpersonal, verbal, and written communication skills.
• Strong organizational and time-management skills.
• Ability to work independently as well as in a team workplace.
