Role Description The Incharge Medical Records role is a full-time, in office position based in Ranchi. This role is responsible for overseeing the creation, organization, maintenance, and secure storage of patient medical records in compliance with hospital policies and applicable regulations.

The individual will supervise record-keeping staff, ensure timely updating and retrieval of records, and coordinate with clinical and administrative teams to support accurate documentation and reporting. Day-to-day tasks include monitoring data entry quality, implementing record management procedures, supporting audits, and preparing regular reports on medical records operations.



The role also involves training staff on documentation standards, resolving record-related queries, and contributing to process improvements that enhance patient service and operational efficiency.

Qualifications

- Solid customer service skills to support patients, clinicians, and administrative teams with medical record requests and queries.
- Budgeting and resource management skills to plan, monitor, and optimize departmental expenses and use of records-related infrastructure.
- Effective communication skills to coordinate with multidisciplinary teams, provide clear guidance to staff, and document processes accurately.
- Basic understanding of medical terminology and healthcare practices to ensure accurate classification, coding, and handling of medical records.
- Experience in staff training and mentoring to uphold documentation standards, compliance requirements, and consistent workflows.
- Proven experience in medical records management or health information management, preferably in a hospital or oncology setting.
- Familiarity with electronic medical records (EMR) systems, data privacy regulations, and hospital accreditation standards.
- Diploma or degree in Health Information Management, Hospital Administration, or a related healthcare field is preferred.
- Detail-oriented, organized, and able to manage multiple priorities while maintaining accuracy and confidentiality.
