Position Title : Common Area Finishes (CAF) Specialist (Functional Expert)

Role Purpose :

Common area finishes — lobbies, corridors, staircases, washrooms, lift lobbies, facade-facing interiors, and other shared zones — are the first and most persistent point of contact international occupiers have with a Phoenix Group building. Inconsistent specification, weak vendor selection, or poor site quality control in these areas directly affects leasing perception and long-term maintenance cost across 25+ Mn SFT of delivered space. This role is the single point of functional expertise for common area finishes across the portfolio: setting the design standards the design team builds from, strengthening procurement's vendor and material decisions, driving quality and sequencing discipline on live projects, and supporting EFS in sustaining finish standards on operational buildings.

The role reports to Director – Projects but carries direct, personal accountability for CAF quality outcomes — the specialist is expected to flag and resolve quality and specification gaps proactively, not merely advise.

Key Responsibilities

1. Design Team Support :

- Create and own Phoenix Group's CAF standards framework: specifications, preferred/approved brand lists, performance benchmarks, good practice guidelines, and method statements for all common area finish categories (flooring, wall cladding, false ceilings, signage zones, washroom fit-outs, lift lobbies, staircases).
- Develop and maintain a standard budget/cost benchmark for CAF works, to be used as the reference for project-level budgeting and design value-engineering discussions.
- Work with the design team and appointed interior/architectural consultants to review and finalize CAF designs — ensuring specification intent, buildability, and cost are aligned before design freeze.
- Periodically review and update the standards framework based on site learnings, new materials, vendor performance, and evolving occupier expectations.

2. Procurement Support :

- Support the procurement team in identifying, technically evaluating, and appointing suitable CAF vendors and contractors, using the approved standards and benchmarks as the evaluation basis.
- Suggest and refine material procurement strategy — direct procurement vs. contractor-supplied, bulk/rate-contract opportunities across projects,



lead-time and criticality planning for imported or long-lead materials.
- Drive wastage management — specify optimal material take-off methodology, cutting/laying patterns, and vendor accountability clauses to minimize material wastage on site.
- Recommend the ideal contracting structure for CAF works on each project (single-point turnkey vs. package-wise/trade-wise contracting) based on project scale, timeline, and risk profile.
- Overseeing vendors supply chain management

3. Project Team Support :

- Devise a suitable and appropriate deferment strategy for CAF works based on client occupation plans — sequencing finishes to minimize disruption to occupied areas while protecting overall project handover timelines.
- Manage contracted CAF works on the ground: setting-out verification, mock-up review and approval before full-scale rollout, and ongoing quality management through the execution sequence.
- Mock up approval and ensuring the method statement is adhered to by the contractor
- Institute inspection hold points and quality checkpoints across CAF trades; track and close non-conformances with contractors.
- Certify CAF works for milestone billing and final handover, ensuring delivered quality matches the approved standard and design intent.

4. Facilities Team Support :

- Partner with the facilities/operations team to define maintenance standards and SOPs for common area finishes across operational buildings.
- Conduct periodic CAF condition audits on operational assets and issue corrective/refurbishment action plans to facilities ops and their vendors.
- Advise on cost-effective repair, replacement, and upgrade of finishes, and on vendor selection for maintenance and refurbishment works.
- Act as the technical escalation point when client/occupier feedback on common area finish quality is raised on operational campuses.

Qualifications & Experience :

- Bachelor's or Master's degree in Interior Design, Architecture, Civil Engineering, or a related field.
- Minimum 20 years of relevant experience, with a substantial portion in large-scale commercial real estate or IT/office campus developments — not primarily residential or retail fit-out work.
- Demonstrated experience across the full lifecycle: specification/standards development, vendor and contract strategy, site execution quality control,



and post-handover maintenance oversight.
- Strong working knowledge of finish materials (natural/engineered stone, tile, cladding systems, false ceiling systems, architectural hardware, signage) and their performance, cost, and maintenance characteristics.
- Established network of CAF contractors, material suppliers, and specialist vendors in Hyderabad/South India is a strong advantage.

Skills & Competencies :

- Robust technical eye for design and construction quality — able to read and critique CAF drawings, specifications, and mock-ups independently.
- Cost and value-engineering fluency — able to build and defend standard budgets and challenge design/procurement trade-offs.
- Vendor and contract strategy — technical evaluation, contracting structure design, negotiation support, performance management.
- Site sequencing and stakeholder judgment — able to balance client occupation constraints against project delivery timelines.
- Cross-functional coordination across Design, Procurement, Projects, and EFS — comfortable operating as an embedded expert across four different teams rather than owning a single department.
- Clear, concise reporting and escalation discipline — able to flag risk early to Director – Projects.

Key Performance Indicators :

- Existence and adoption of a current CAF standards/specification framework and standard budget across live projects.
- On-time design sign-off against project design schedules.
- Vendor appointment cycle time and post-appointment vendor performance/defect rates.
- Material wastage rate against benchmark on CAF works.
- CAF defect-free handover rate on new projects; snag closure turnaround; mock-up approval cycle time.
- Adherence to CAF deferment plans without compromising overall handover timelines.
- CAF audit scores and client/occupier satisfaction on operational buildings.
