About the Role
We are looking for an Event Planning Specialist to join the BuyerForesight Events Concierge (BEC) team. You will own the planning and delivery of executive event programs end to end — across formats from executive roundtables dinner to summits, product launches, conferences to experiential events at distinctive venues.
A 20-person dinner roundtable, a 250-person conference, and a client experience at a race track each call for different venues, vendors, and planning instincts —you will be expected to handle all of them. This is a hands-on, mid-level role blending event planning and execution with venue and vendor coordination: you will work with premium global venues and suppliers, manage requisitions across multiple time zones, and ensure every program is delivered on time, on budget, and to the standard our clients expect.
Key Responsibilities
Event Planning & Requisition Delivery
- Manage requisitions for assigned programs from initiation to completion, ensuring quick turnaround times and flawless execution.
- Collaborate with internal stakeholders (Customer Operations, Customer Success, and Sales) to gather requirements, establish objectives, and define deliverables.
- Develop comprehensive event plans covering budgets, timelines, run-of-show, logistics, and resources.
- Research venues, vendor, and experiences suited to each format — private dining rooms, hotels, conference spaces, and unique experiential venues.
Venue & Vendor Coordination
- Identify, evaluate, and shortlist venues for suitability, capacity, pricing, and compliance; leverage the internal vendor database and grow it with new options.
- Liaise with venues, caterers, AV providers, transportation partners, and other suppliers to procure services aligned with client requirements and allocated budget.
- Support contract negotiations with vendors in collaboration with FinOps, including rates, cancellation and refund policies, and value-added inclusions.
- Build working relationships with recurring vendors to secure preferred rates and reliable service.
Budget & Cost Management
- Track all program expenses against the allocated budget and flag risks early — programs must never go over budget.
- Coordinate with FinOps to ensure vendor payments follow agreed timelines and terms.
Execution & On-Site Support
- Coordinate event setup, operations,
and teardown; manage on-site or virtual execution as needed, resolving last-minute vendor, service, or logistical issues.
- Handle special client requests such as custom experiences, guest speakers, wellness sessions, swag, and technical requirements.
- Supervise on-ground staff and vendors to maintain quality standards and adhere to event timelines.
Event Experience & Reporting
- Research and procure unique, personalized offerings that elevate the event experience and exceed client expectations.
- Conduct post-event evaluations; compile reports summarizing outcomes, feedback, and recommendations for improvement.
Required Skills & Experience
- 3–5 years of experience in event operations management, MICE, or a related field; experience with B2B or executive-level events is a strong plus.
- Experience in venue sourcing, vendor coordination, and event procurement, with confidence in negotiating pricing and commercial terms.
- Excellent verbal and written English communication skills.
- Strong organization, time management, and problem-solving skills; able to run multiple programs in parallel under tight timelines.
- Ability to manage global requirements across multiple time zones, collaborate with multicultural teams, work effectively in high-pressure environments, and overlap for a few hours with U.S. business hours.
- Proficiency in Google Workspace and Microsoft Office, with an analytical mindset and the ability to derive meaningful insights from data.
- Willingness to travel for in office event delivery as required.
