Executive Assistant (EA) to the Director – Finance & Strategic Coordination

Job Summary The Executive Assistant (EA) to the Director is a trusted strategic partner responsible for providing executive, financial, and operational support to the Director. The role requires a strong finance background to coordinate confidential financial matters, monitor budgets, review MIS reports, liaise with Finance, Treasury, Auditors, Banks, and senior stakeholders, while ensuring complete confidentiality.
In addition to supporting the Director, the EA will supervise two Personal Assistants, ensuring seamless management of the Director's office, priorities, communications, travel, and administrative operations.
This role requires exceptional business acumen, analytical capability, discretion, and the ability to work closely with senior leadership on strategic initiatives. Key Responsibilities
Executive Office Management
Manage the Director's calendar, meetings, travel, and priorities.
Screen correspondence and coordinate Board, Leadership, and Executive Committee meetings.
Prepare agendas, presentations, reports, meeting minutes, and track action items.
Confidential Financial Coordination
Coordinate confidential financial matters for the Director.
Review MIS, budgets, cash flow reports, and financial dashboards.
Liaise with Finance, Treasury, Banks, Auditors, Tax, and Legal teams.
Track financial approvals, investments, insurance, and statutory documentation.
Prepare executive financial summaries and ensure timely follow-up on key decisions while maintaining strict confidentiality.
Strategic Business Support
Support strategic initiatives and cross-functional projects.
Prepare business analyses, management presentations, and monitor key business KPIs.
Leadership & Stakeholder Coordination
Act as the primary liaison between the Director and internal/external stakeholders.
Coordinate with global offices, business partners, consultants, and investors.
Follow up on critical business matters and represent the Director where required.
Team Management
Lead and supervise two Personal Assistants.
Allocate work, monitor performance, and streamline executive office operations.
Travel & Event Management
Manage domestic and international travel, visas, itineraries, and executive events.
Coordinate Board meetings, leadership conferences, and business visits.
Documentation & Governance
Maintain confidential records, Board papers, and financial documents.
Ensure effective document management, approvals, and compliance support. Qualifications
MBA (Finance) / CA Desirable Profile 8–12 years of experience as an Executive Assistant to a Director, CEO, CFO, or Managing Director.
Strong exposure to finance, budgeting, MIS, banking, treasury, or business planning.
Experience in multinational organizations is preferred.
Prior experience managing executive office staff is desirable.
Open for extensive travel Globally Technical Skills
Solid financial statement interpretation/Budgeting and MIS reporting.
Microsoft Outlook and Office 365.
Project tracking tools.
