Role Description A Chief of Staff to a Chairman or CEO is far more than a traditional administrative assistant or secretary. In modern corporations, this role functions as a trusted strategic partner, force multiplier, and operational gatekeeper . The primary goal is to protect and amplify the executive’s most scarce resource time and focus so the leader can concentrate on strategy, decision-making, stakeholder relationships, and high-impact leadership.

Key dimensions of the role typically include:-

- Strategic time and priority management : The COS owns the executive’s calendar as a strategic asset. This involves prioritising meetings based on business impact, creating buffers for deep work, resolving conflicts across time zones, and ensuring the schedule reflects organisational priorities rather than reacting to every request. Roughly 30–50% of the role often revolves around sophisticated calendar orchestration.
- Gatekeeping and information filtering : Acting as the primary filter for emails, calls, meeting requests, and information flow. The COS decides what reaches the executive, what can be delegated or resolved independently, and what needs escalation. This requires strong judgment,



business context, and discretion with highly confidential material (board matters, strategy, financials, personnel issues, negotiations).
- Meeting support and “shadowing” : Preparing briefing notes, agendas, presentations, and background materials; attending formal meetings (internal, board, investor, customer, government, or international) to take notes, capture action items, track follow-ups, and ensure nothing falls through the cracks. In some cases the COS may represent the executive or act as a proxy when appropriate. Shadowing builds deep institutional knowledge and allows the COS to anticipate needs.
- Communication and relationship management : Drafting correspondence in the executive’s voice, managing stakeholder relationships (board members, investors, senior leadership, key customers, partners, regulators), and serving as a liaison across the organisation. The COS often becomes one of the most connected people in the company.
- Travel, logistics, and event coordination : End-to-end planning of complex domestic and international travel (itineraries, visas, security, ground transport, contingencies), plus logistics for board meetings, leadership offsites, and high-level events.
- Project and initiative ownership : Coordinating cross-functional projects, tracking strategic initiatives, driving follow-through on decisions, preparing reports/dashboards, conducting research, and sometimes owning discrete workstreams. High-performing Chief of staff operate with significant autonomy.




- Anticipation and problem-solving : Proactively identifying issues before they reach the executive, offering solutions, and maintaining situational awareness across the business.
- Discretion, executive presence, and adaptability : Absolute confidentiality, polished interpersonal skills, the ability to read rooms and power dynamics, composure under pressure, and the capacity to switch rapidly between tactical execution and strategic support.

In practice, the role has evolved significantly. Administrative tasks (scheduling, travel, correspondence) form the foundation, but high-value COS contribute judgment, process improvement, and execution leverage. Performance is measured by how effectively the executive’s bandwidth is protected and how smoothly high-stakes activities run.

Qualifications

- Strong strategic planning and project management skills, with the ability to coordinate multiple initiatives and meet deadlines.
- Excellent communication, presentation, and interpersonal skills to collaborate effectively with senior leadership and diverse teams.
- Demonstrated experience in operations, business administration, or management consulting.
- Proven analytical and problem-solving abilities, including comfort with data-driven decision-making and performance tracking.
- High level of integrity, discretion, and professionalism when handling sensitive information and executive matters.
- Ability to work on-site in Jammu and maintain robust stakeholder relationships with internal teams, partners, and community members.
- Bachelor’s or Master’s degree in Business Administration from Premier institute, Management, or a related field is preferred
