Associate Officer (Fleet Service Operations)
Position: Associate Officer
Department: Fleet Service Operations / Workshop
Location: Guwahati Airport
Experience: 3 to 6 Years
Job Summary The Associate Officer is responsible for supporting day-to-day fleet maintenance operations for a mixed fleet of Motors, Transport Vehicles, Electric Vehicles, Aerial Work Platforms, Crash Fire Tenders, Cranes, Sweepers, and other Special Purpose Vehicles. The role ensures smooth coordination between customers/departments, technicians, and internal teams, while maintaining operational standards, warranty compliance, safety, and uptime across all fleet assets.
Key Responsibilities
1. Fleet Operations Management
- Coordinate daily workshop operations for timely completion of preventive maintenance, breakdown repairs, and scheduled servicing of vehicles and machinery.
- Ensure fleet availability and minimize downtime for Motors Transport, EVs, AWPs, CFTs, Cranes, Sweepers & special vehicles.
1. SOP & Compliance
- Monitor adherence to Standard Operating Procedures, safety regulations, OEM guidelines, and quality standards across multi-brand fleet.
- Ensure compliance for EV battery handling, HV safety, and specialized equipment norms.
1. Service Planning & Coordination
- Support service planning, job allocation, and coordination between technicians, service advisors, and department users.
- Coordinate with OEMs/dealers for multi-brand support and specialized machinery spares.
1. Warranty & Claims
- Process and monitor warranty claims for vehicles, EV components, and machinery as per OEM guidelines and company policy.
- Liaise with OEMs for technical approvals and claim settlements.
1. Documentation & Reporting
- Review service documentation, job cards, warranty records, maintenance history, and operational reports for accuracy.
- Monitor fleet performance through MIS reports, KPI dashboards,
downtime analysis, and cost per km/operating hour.
1. Customer & Stakeholder Coordination
- Coordinate with internal departments regarding service updates, repair estimates, and asset delivery schedules.
- Handle queries and ensure prompt resolution of fleet-related concerns.
1. Improvement & Inventory
- Assist in improving workshop productivity, turnaround time, and first-time-fix rate.
- Maintain records of service activities, warranty claims, and inventory usage for vehicles, EV parts, and machinery spares.
- Support preventive maintenance programs and continuous process improvement initiatives.
1. Cross-functional Coordination
- Work with Procurement, HSE, Operations, and Finance teams for effective fleet operations and budgeting.
Required Skills Technical: Fleet Maintenance, Workshop Operations, Multi-brand Vehicle Servicing, EV Basics, Hydraulic Systems, AWP/CFT/Crane Maintenance
Operational: Service Coordination, SOP Implementation, Warranty Processing, Performance Monitoring, Operational Efficiency
Analytical: MIS & Reporting, Data Analysis, Problem Solving, Root Cause Analysis
Soft Skills: Customer Service, Communication, Team Coordination, Documentation
Tools: MS Excel, Fleet Management Software, Basic diagnostics knowledge
Qualification
Diploma / Degree in Automobile Engineering, Mechanical Engineering, or related discipline.
Additional certification in Fleet Management / EV Technology / Heavy Equipment is an advantage.
Preferred candidate profile
- Experience in fleet maintenance, authorized dealerships, OEM service centers, or industrial equipment service.
- Knowledge of multi-brand motors transport, electric vehicles, and special-purpose machinery like AWPs, CFTs, Cranes, Sweepers.
- Familiarity with Hyundai, Tata, Ashok Leyland, JCB, Aerial platform brands, or EV OEMs is preferred.
- Understanding of battery management systems, HV safety, and hydraulic systems for special vehicles.
