About the Role
Rentostay Property Rentals India Pvt Ltd is looking for a detail-oriented and responsible Accounts & Finance Executive to manage the company's day-to-day accounting and financial operations, with a specific focus on real estate rentals, property management, vendor payments, invoicing, GST, TDS, collections and expense management.
The ideal candidate should have practical knowledge of accounting, taxation and financial reporting and be comfortable handling daily accounting transactions, property-wise income and expenses, rental collections, vendor bills and statutory compliance.
Key Responsibilities
1. Daily Accounting & Bookkeeping
- Record and maintain all daily financial transactions accurately.
- Maintain cash, bank, sales, purchase and journal entries.
- Record rental income, brokerage income, management fees and other company revenues.
- Record property-wise expenses and reimbursements.
- Perform daily bank and cash reconciliation.
- Maintain proper supporting documents for all transactions.
- Ensure accounts are updated on a daily basis.
2. Property Management Accounts
- Maintain property-wise income and expenditure records.
- Record maintenance expenses, repairs, utilities, vendor charges and other property-related expenses.
- Track rental collections and outstanding amounts.
- Maintain owner-wise and property-wise financial statements.
- Prepare monthly property-wise income & expenditure reports.
- Coordinate with the Property Management team regarding expenses and vendor bills.
- Monitor advances, reimbursements and refundable deposits where applicable.
3. Invoicing & Receivables
- Raise invoices for rental brokerage, property management fees, service charges and other business transactions.
- Maintain invoice records and ensure timely dispatch to clients/builders/owners.
- Track receivables and outstanding payments.
- Follow up internally for pending collections.
- Maintain proper records of receipts and payment confirmations.
4. Vendor Payments & Payables
- Verify vendor invoices and supporting documents.
- Process vendor payments after appropriate approval.
- Maintain vendor-wise outstanding statements.
- Track recurring expenses and payment due dates.
- Ensure timely payments to maintenance contractors, repair vendors, service providers and other suppliers.
- Reconcile vendor accounts periodically.
5. GST & TDS
- Maintain accurate GST-related sales and purchase records.
- Prepare data required for monthly/quarterly GST filing.
- Coordinate with the company's Chartered Accountant for GST compliance and filing.
- Ensure proper recording of input GST and output GST.
- Calculate and maintain TDS records wherever applicable.
- Prepare TDS payment and return-related data.
- Maintain proper records of GST and TDS challans, returns and supporting documents.
6. Payroll & Employee Accounts
- Assist in monthly salary preparation.
- Maintain employee attendance and salary-related records.
- Calculate incentives, reimbursements and deductions.
- Assist with employee TDS and other payroll-related requirements.
- Coordinate with management for timely salary processing.
7. Bank & Financial Reconciliation
- Perform regular bank reconciliation.
- Reconcile customer, owner and vendor accounts.
- Identify discrepancies and ensure timely correction.
- Maintain accurate ledgers and supporting documentation.
8. MIS & Management Reporting
Prepare regular financial reports for management, including:
- Daily income & expenditure report
- Monthly Profit & Loss statement
- Balance Sheet
- Cash Flow statement
- Accounts Receivable report
- Accounts Payable report
- Rental collection report
- Property-wise income & expenditure report
- Vendor outstanding report
- GST & TDS summary
- Monthly management MIS
9. Month-End & Year-End Closing
- Ensure all income and expenses are properly accounted for.
- Complete monthly ledger scrutiny and reconciliation.
- Assist in monthly closing of accounts.
- Prepare schedules and supporting documents for the Chartered Accountant.
- Assist in preparation of financial statements and year-end closing.
- Support statutory audit and tax audit requirements.
Key Skills Required
- Strong knowledge of accounting principles and bookkeeping.
- Knowledge of GST, TDS and basic taxation.
- Experience in invoicing, collections and vendor payments.
- Good knowledge of Profit & Loss, Balance Sheet and Cash Flow.
- Strong Excel skills.
- Ability to maintain property-wise and client-wise accounts.
- Good reconciliation and analytical skills.
- Strong attention to detail.
- Ability to maintain confidentiality of financial information.
- Good communication and coordination skills.
- Ability to work independently and meet deadlines.
Preferred Experience
- 2–5 years of experience in Accounts & Finance.
- Experience in real estate, property management, rentals, construction or service industries will be an advantage.
- Experience with accounting software such as Tally, Zoho Books, QuickBooks, Busy or similar ERP/accounting platforms will be preferred.
- Practical experience handling GST and TDS is highly desirable.
Educational Qualification
- B.Com / M.Com / CA Inter / CMA Inter or equivalent qualification.
- Candidates with relevant practical accounting experience may also be considered.

The selected candidate will be evaluated on:
- Accuracy of daily accounting entries
- Timely raising of invoices
- Timely vendor payments
- Accuracy of GST & TDS records
- Timely bank and ledger reconciliation
- Collection and receivables tracking
- Property-wise expense accuracy
- Timely monthly MIS reporting
- Accuracy of Profit & Loss and Balance Sheet
- Proper maintenance of supporting documents
- Compliance with accounting and statutory deadlines
Ideal Candidate
We are looking for someone who is responsible, systematic, trustworthy and highly detail-oriented, with the ability to take ownership of the company's day-to-day accounts.
The candidate should not only be comfortable entering transactions but should also be capable of understanding the complete accounting cycle—from recording a transaction to reconciliation, invoicing, collections, statutory compliance and management reporting.
