Job Description Executive Assistant (EA) to the Director – Finance & Strategic Coordination

n n Job Summary
n The Executive Assistant (EA) to the Director is a trusted strategic partner responsible for providing executive, financial, and operational support to the Director. The role requires a robust finance background to coordinate confidential financial matters, monitor budgets, review MIS reports, liaise with Finance, Treasury, Auditors, Banks, and senior stakeholders, while ensuring complete confidentiality.
n In addition to supporting the Director, the EA will supervise two Personal Assistants, ensuring seamless management of the Director's office, priorities, communications, travel, and administrative operations.
n This role requires exceptional business acumen, analytical capability, discretion, and the ability to work closely with senior leadership on strategic initiatives.
n Key Responsibilities
n Executive Office Management
n n Manage the Director's calendar, meetings, travel, and priorities.
n Screen correspondence and coordinate Board, Leadership, and Executive Committee meetings.
n Prepare agendas, presentations, reports, meeting minutes, and track action items.
n n Confidential Financial Coordination
n n Coordinate confidential financial matters for the Director.
n Review MIS, budgets, cash flow reports, and financial dashboards.
n Liaise with Finance, Treasury, Banks, Auditors, Tax, and Legal teams.
n Track financial approvals, investments, insurance, and statutory documentation.
n Prepare executive financial summaries and ensure timely follow-up on key decisions while maintaining strict confidentiality.
n n Strategic Business Support
n n Support strategic initiatives and cross-functional projects.
n Prepare business analyses, management presentations, and monitor key business KPIs.
n n Leadership & Stakeholder Coordination
n n Act as the primary liaison between the Director and internal/external stakeholders.
n Coordinate with global offices, business partners, consultants, and investors.
n Follow up on critical business matters and represent the Director where required.
n n Team Management
n n Lead and supervise two Personal Assistants.
n Allocate work, monitor performance, and streamline executive office operations.
n n Travel & Event Management
n n Manage domestic and international travel, visas, itineraries, and executive events.
n Coordinate Board meetings, leadership conferences, and business visits.
n n Documentation & Governance
n n Maintain confidential records, Board papers, and financial documents.
n Ensure effective document management, approvals, and compliance support.
n n Qualifications
n n MBA (Finance) / CA
n n Desirable Profile
n n 8–12 years of experience as an Executive Assistant to a Director, CEO, CFO, or Managing Director.
n Strong exposure to finance, budgeting, MIS, banking, treasury, or business planning.
n Experience in multinational organizations is preferred.
n Prior experience managing executive office staff is desirable.
n Open for extensive travel Globally

n n Strong financial statement interpretation/Budgeting and MIS reporting.
n Microsoft Outlook and Office 365.
