- Manage MS Outlook calendars for senior leadership — scheduling, prioritising, and resolving conflicts across internal and external stakeholders
- End-to-end travel management: domestic and international bookings, visas, itineraries, and expense claims
- Prepare correspondence, presentations and meeting materials using MS Office (Word, Excel, PowerPoint, Outlook)
- Coordinate meetings, take minutes, track action items, and follow up on closures
- Handle confidential information with absolute discretion
Office Administration
- Oversee daily office operations at the datacenter site
- Manage vendor relationships for facilities, office supplies, and administrative services, including PO/invoice coordination
- Coordinate visitor management and site access formalities in line with datacenter security protocols
- Support onboarding logistics for new hires (workstations, ID cards, access, welcome kits)
- Organise internal events, leadership visits, and customer/partner site tours
- Maintain administrative records, trackers, and office budgets
Requirements
- 5–8 years of experience as an Executive Assistant, with at least 2 years handling office administration
- Advanced proficiency in MS Office and Outlook; comfort with M365 collaboration tools (Teams, SharePoint)
- Excellent written and verbal communication in English
- Strong multitasking, prioritisation, and stakeholder management skills
- Prior experience in infrastructure, real estate, IT/datacenter, or similar fast-paced environments preferred
- Willingness to be based full time at the datacenter site
