Key Responsibilities for Band 5s and Band 4s (Production Resource)

Agency Billing Reconciliation of billing, cash, and ledger balances

Completing transaction matching and application of customer payments where needed and resolution of mismatched cash

Recording any small dollar adjustments in discussion with Customer appointed manager

Preparation & finalization of carrier payables and settlement support

Monitoring and escalation of aged receivables and settlement exceptions

Direct Billing

Reconciliation of carrier statements to internal records including any manual matching where needed

Recording any small dollar commission adjustments in discussion with Customer appointed manager

Identification, monitoring and escalation of commission discrepancies/exceptions

Complex Accounts & Transactions Oversight: Direct the team responsible for handling high-priority, complex accounts and transactions. Ensure thorough analysis, strategic problem resolution, and effective communication with both internal and external stakeholders to maintain financial integrity and client satisfaction.

Customer Service Excellence: Oversee and coach the team to deliver best-in-class customer service, ensuring responsiveness, professionalism, and empathy in all interactions with internal teams, carriers, and clients.



Investigate and resolve escalated issues with a focus on continuous customer satisfaction improvement.

Month-End Close Management: Oversee all month-end closure activities related to agency/direct bill, including the preparation of journal entries, accruals, reconciliations, and variance analyses to ensure timely and accurate financial reporting.

Cross-Functional Collaboration: Actively collaborate with Carrier Relations, Agency Operations, and Finance teams to resolve discrepancies, identify process gaps, and drive cross-functional efficiencies.

Performance Monitoring and Reporting: Monitor and report on key performance indicators (KPIs) and service level agreements (SLAs) to ensure processing accuracy, reconciliation timeliness, and high customer satisfaction levels.

Continuous Improvement Initiatives: Drive operational excellence by leading continuous improvement projects utilizing Lean, Six Sigma, or other process improvement methodologies to enhance quality, speed, and cost-effectiveness.

SOPs and Training Development: Design, implement, and maintain comprehensive standard operating procedures (SOPs) and training programs to ensure consistency, scalability, and high-quality performance across all team members.

Skills & Qualification:

Bachelor in Commerce, Finance, Business Administration, or a related field, CPA A plus, but not required.

Minimum 7 years of finance experience in the insurance industry, with a strong focus on agency/direct bill processing.

Experience with business process outsourcing (BPO) models and vendor management.

Strong knowledge of insurance agency and direct bill workflows.

Experience working with agency management systems.

Proven track record in process improvement, KPI development, and performance management.

Excellent communication, problem-solving, and interpersonal skills.

High proficiency in Excel and other reporting tools.
