JD - OPERATIONS MANAGER (ROASTERY)

Position: Operations Manager

Location: Saket, Delhi (On-site), Full-time

Company: Caarabi Coffee Roasters

Reports to: Cofounders

Compensation: ₹40,000 onwards (based on experience)

Work Schedule: 5 days a week.

The Role:

Own end-to-end operations at Caarabi — from procurement and roasting to warehouse, dispatch, customer fulfilment, facilities, and compliance. Every operational function reports into this role. This role ensures stock accuracy, production efficiency, compliance with food safety standards, and smooth backend operations. You'll ensure on-time, high-quality production and dispatch while driving inventory accuracy, cost efficiency, and continuous process improvement.

What You'll Do:

Operations & Team Leadership

- Own daily operations across procurement, production, warehouse, packaging, dispatch, customer care, accounts, and sales
- Lead all operational teams; run daily meetings, assign responsibilities, coach and develop supervisors
- Eliminate bottlenecks that could impact deliveries

Production & Roastery (Roasted Coffee)

- Plan roasting schedules based on demand forecasting
- Monitor yields, machine utilization, and wastage; maintain roasting logs

Warehouse & Inventory

- Manage and maintain accurate inventory of coffee beans (green and roasted),matcha,chocolate and other consumables, packaging material and all finished goods SKUs.
- Enforce FIFO/FEFO and batch traceability; run weekly/monthly audits

Procurement & Vendor Management

- Forecast requirements, raise POs, negotiate pricing, ensure timely delivery
- Maintain approved vendor database and monitor vendor performance

Packaging & Dispatch

- Manage packaging workflow and dispatch targets
- Maintain adequate stock of pouches, cartons, boxes, stickers, labels, tape, fillers, and other dispatch materials
- Prevent stock-outs that may disrupt production or dispatch




- Coordinate with couriers to meet TAT; reduce RTOs and improve order accuracy

Customer Fulfilment

- Ensure quick query resolution, tracking, escalations, and returns

Warehouse Operations & Organization

- Maintain structured warehouse layout for operational efficiency
- Ensure proper storage, labeling, and identification of inventory
- Optimize space utilization
- Supervise warehouse staff
- Implement SOPs for warehouse processes

Facility Management

- Ensure overall cleanliness and hygiene of warehouse premises
- Maintain food-safe storage standards
- Supervise daily, weekly, and monthly cleaning schedules
- Coordinate pest control services
- Oversee minor repairs including:
- Storage racks
- Electrical fittings
- Weighing and sealing machines
- Lighting and ventilation
- Coordinate external vendors for major repairs
- Maintain warehouse asset register (equipment, tools, machinery)
- Ensure AMCs for critical equipment (if applicable)
- Monitor fire safety systems and emergency compliance
- Ensure proper waste disposal and scrap management
- Maintain compliance with local health and safety regulations

Compliance & Food Safety

- Ensure FSSAI, hygiene, food safety, and workplace safety compliance; audit-ready documentation

Reporting & Process Improvement

- Publish weekly dashboards (inventory, production, dispatch, procurement, complaints, wastage, productivity)
- Identify bottlenecks, build SOPs, standardize and automate workflows

Performance Assessment:

Your performance will be reviewed through varied mediums, and assessment will be done based on performance metrics.

What We're Looking For:

Someone who takes ownership beyond their — equally comfortable on the warehouse floor, with vendors, in dashboards, or building systems that let the company scale. Relevant years of experience in leading cross-functional operations teams, strong grasp of inventory/production/warehouse management, and experience with ERP/WMS/Shopify or similar systems.

- 5–8 years of experience in warehouse/inventory management
- Experience in FMCG / Food & Beverage preferred
- Strong knowledge of inventory systems and Excel
- Understanding of batch control and storage compliance
- Solid organizational and leadership skills
