Roles & Responsibilities of a School Office Administrator A School Office Administrator is responsible for the smooth functioning of the school office and acts as an important link between the management, principal, teachers, parents, students, and external authorities.
1. Office Administration
Manage the day-to-day functioning of the school office. Maintain systematic records, registers, files, and official documents.
Handle incoming/outgoing correspondence, notices, circulars, emails, and official letters.
Maintain confidentiality of student, staff, and school records.
Ensure important documents are properly filed and easily retrievable.
1. Admission & Student Records
Assist parents with admission enquiries and procedures. Maintain admission, withdrawal, and student information records.
Verify and collect required documents from parents.
Prepare and issue documents such as bonafide certificates, student certificates, and other school records as authorized.
Update student information whenever required.
1. Parent & Visitor Coordination
Attend to parents and visitors courteously. Handle telephone calls and general enquiries.
Maintain visitor records and coordinate appointments with the Principal/Head of School.
Direct parent concerns to the appropriate teacher or authority.
Communicate important information to parents through approved channels.
1. Staff Records & Coordination
Maintain staff files and required documentation. Keep records of staff attendance, leave, joining, and relieving documents as assigned.
Assist with staff-related administrative documentation.
Coordinate circulation of notices, instructions, and official information among staff.
Support arrangements for staff meetings, workshops, and training programmes.
1. CBSE/DOE & Statutory Documentation
Assist the Head of School in maintaining documents required by CBSE, DOE and other authorities. Maintain records relating to recognition, affiliation, inspections, committees, and statutory requirements.
Compile information and documents required for official submissions.
Keep important certificates, approvals, and compliance records updated and properly filed.
1. Examination & Academic Administrative Support
Assist in examination-related office work, including printing, record maintenance, and documentation. Maintain records of results and other academic documents as assigned.
Support the issue and collection of examination-related documents.
Coordinate administrative requirements with academic coordinators and teachers.
1. Fee & Accounts Coordination
Assist in maintaining fee-related records as per school policy. Coordinate with the accounts department regarding pending fees, receipts, and documentation.
Maintain records of payments or expenses assigned to the office.
Ensure financial information is handled confidentially and only by authorized personnel.
1. School Operations & Logistics
Coordinate requirements for stationery, printing, photocopying, office supplies, and other materials. Maintain inventory records where assigned.
Coordinate with transport, housekeeping, security, maintenance, and other support departments.
Assist with arrangements for school events, meetings, competitions, examinations, and functions.
1. Safety & Compliance Support
Maintain emergency contact information and important safety records. Assist in maintaining documentation related to POCSO, child safety, fire safety, disaster management, transport, and other committees.
Ensure required registers and administrative records are available during inspections.
Immediately report important safety or administrative concerns to the Head of School.
1. Reporting to the Head of School
Provide regular updates regarding pending administrative work. Follow up on tasks assigned by the Principal/Head of School.
Maintain a calendar of important deadlines, renewals, submissions, and meetings.
Ensure time-bound completion of administrative responsibilities.
Overall Responsibility: The Office Administrator should ensure that the school office remains organized, professional, confidential, parent-friendly, compliant, and productive, while providing timely administrative support to the Head of School and all departments.
Pay: ₹10,000.00 - ₹15,000.00 per month
