Job Purpose The purpose of this role is to ensure the smooth, timely, and cost-effective execution of export shipments by coordinating with freight forwarders, transporters, Customs House Agents (CHA), vendors, and internal departments. The role is responsible for managing freight quotations, container bookings, customs clearance coordination, shipment tracking, vendor development, invoice processing, and logistics reporting while ensuring shipments are executed as per agreed schedules and Incoterms.

Key Responsibilities

- Coordinate with freight forwarders to obtain competitive freight rates, prepare quotations, and finalize shipments.
- Maintain RFQs in the system and support the development/onboarding of new vendors, with a target of approximately 5 current vendors per year.
- Coordinate with freight forwarders for timely container bookings.
- Liaise with transporters and CHA to ensure the availability of sound and seaworthy containers.
- Ensure timely placement of containers at the factory as per the shipment schedule.
- Coordinate with CHA for timely customs clearance and smooth handover of shipments.
- Follow up with freight forwarders regarding vessel schedules, timely sailing, and other shipment-related updates.
- Track shipments from empty container pickup through final destination, as applicable under agreed Incoterms.
- Maintain and regularly update the Freight Tracker with accurate shipment details.




- Verify vendor invoices and submit them to the Finance & Accounts team to facilitate timely payments.
- Maintain freight and invoice records for tracking and reconciliation purposes.
- Coordinate vendor code creation for newly onboarded vendors.
- Prepare logistics, freight, shipment, vendor, and other management reports as required.
- Ensure effective coordination among internal teams, freight forwarders, transporters, CHA, and other logistics partners.

Eligibility Criteria

Qualification: Graduate in Commerce, Logistics, Supply Chain Management, International Business, or a related discipline.

Experience: 2–5 years of relevant experience in Export Logistics, Freight Forwarding, International Shipping, EXIM, or Supply Chain operations.

Industry Exposure: Candidates with experience handling ocean export shipments, containerized cargo, freight forwarders, transporters, and CHA coordination will be preferred.

Technical Skills: Working knowledge of MS Office, particularly MS Excel, and experience with ERP/SAP or logistics management systems will be an added advantage.

Functional Knowledge: Understanding of Incoterms, export documentation, customs clearance, container booking, freight quotations, shipment tracking, and vendor invoice processing is preferred.

Communication: Good written and verbal communication skills with the ability to coordinate effectively with internal and external stakeholders.
