Position Overview
We are looking for a Client Servicing Manager with strong experience in event management, experiential marketing, and stakeholder engagement to manage large-scale events and experiential projects, particularly those led or commissioned government institutions, and large corporate/public-sector clients.
The role requires an individual who can confidently manage client relationships, understand complex briefs, translate them into actionable event plans, and work closely with creative, production, operations, vendors, and internal teams to deliver high-quality experiences at scale.
The ideal candidate should be highly organised, commercially aware, solution-oriented, and comfortable working in environments involving multiple stakeholders, tight timelines, formal processes, and high levels of visibility and scrutiny. Key Responsibilities

Client
Relationship & Account Management
Act as the primary point of contact for assigned clients and projects.
Build and maintain strong, professional relationships with institutional stakeholders, agencies, and other key decision-makers.
Understand client objectives, expectations, protocols, communication preferences, and decision-making structures.
Manage day-to-day client communication and ensure timely responses, updates, approvals, and escalations.
Anticipate client requirements and proactively identify potential challenges before they impact delivery.
Maintain a high level of professionalism, discretion, and sensitivity when dealing with senior government and institutional stakeholders.
Ensure consistent client satisfaction throughout the project lifecycle.
- Briefing, Strategy & Event Planning
Understand and interpret event briefs, RFPs, tenders, EOI documents, and project requirements.
Translate client requirements into clear internal briefs for creative, production, operations, design, and other specialist teams.
Participate in developing event concepts, experiential strategies, communication approaches, and execution plans.
Work with internal teams to develop proposals, presentations, pitch documents, budgets, timelines, and project plans.
Ensure proposed solutions are aligned with the client's objectives, scope, budget, timelines, and compliance requirements.
Identify opportunities to enhance the event experience while remaining commercially and operationally viable.
- Government & Institutional Stakeholder Management
Coordinate with multiple government departments, ministries, public sector undertakings, authorities and institutional stakeholders as required.
Manage communication and coordination across multiple levels of stakeholders and ensure alignment between all parties.
Understand and adhere to applicable protocols, approvals, permissions, documentation requirements, and event guidelines.
Coordinate with relevant authorities for permissions, venues, security, traffic, protocol, infrastructure, branding, public communication, and other event-related requirements.
Maintain accurate records of approvals, instructions, meeting notes, submissions, and client sign-offs.
Exercise appropriate confidentiality and discretion while handling sensitive client or project information.
- Project & Execution Management
Own projects from briefing through planning, execution, closure, and post-event reporting.
Develop and maintain detailed project plans, timelines, milestones, responsibility matrices, and action trackers.
Coordinate closely with production and operations teams to ensure seamless execution.
Monitor project progress against agreed timelines, scope, quality, and budget.
Conduct regular internal and client review meetings and ensure closure of action points.
Identify dependencies, risks, bottlenecks, and potential execution challenges and drive timely resolution.
Ensure that all event deliverables are executed as per approved specifications and client expectations.
Be present at project sites and oversee critical phases of event execution whenever required.
- Large-Scale Event Coordination
Manage projects involving large audiences, multiple venues, complex infrastructure, public spaces, and multiple execution partners.
Coordinate across production, fabrication, AV, technology, creative, content, hospitality, logistics, security, transportation, venue, and manpower teams.
Ensure seamless integration between various event components and stakeholders.
Support the planning and execution of high-profile events involving dignitaries, senior government officials, ministers, public figures, institutional heads, and other VIPs.
Ensure appropriate attention to protocol, guest movement, security, access control, seating, hospitality, stage management, and event flow.
Manage last-minute changes and high-pressure situations calmly and effectively.
- Creative & Content Coordination
Work closely with creative and content teams to ensure that event communication and experiences reflect the client's objectives and brand/government mandate.
Review creative outputs, presentations, artwork, signage, event branding, communication material, and content for accuracy and alignment with approved briefs.
Coordinate client feedback and approvals across multiple stakeholders.
Ensure factual, language, branding, and protocol-related accuracy in all client-facing and public-facing communication.
- Commercial & Financial Management
Prepare and track estimates, quotations, cost sheets, purchase requirements, and client billing milestones with help from the Operation and finance team
Monitor project profitability and ensure that execution remains within approved budgets.
Identify scope changes and ensure that additional requirements are documented and commercially addressed.
Support commercial negotiations and obtain appropriate client approvals for changes in scope or cost.
Ensure timely submission of invoices, supporting documentation, and project closure documents.
- Documentation & Compliance
Maintain comprehensive project documentation including briefs, proposals, estimates, approvals, meeting minutes, work orders, purchase orders, timelines, contracts, and completion reports.
Ensure compliance with client-specific processes and documentation requirements.
Maintain clear audit trails for key project decisions and approvals.
Coordinate with internal teams to ensure all statutory, contractual, safety, insurance, and operational requirements are addressed.
Ensure timely submission of reports, utilisation statements, completion certificates, photographs, and other documentation as required by the client.
- Vendor & Partner Coordination
Coordinate with production partners, vendors, agencies, freelancers, technology partners, and other external stakeholders.
Ensure vendors understand the approved scope, timelines, quality standards, and commercial requirements.
Support vendor evaluation, briefing, negotiation, and performance monitoring where required.
Escalate and resolve vendor-related issues that may affect project timelines, quality, or budgets.
- Event-Day & On-Ground Responsibilities
Take ownership of client servicing and stakeholder coordination during event setup and live execution.
Serve as the communication bridge between the client and internal execution teams.
Monitor event flow and proactively address issues in real time.
Coordinate last-minute approvals, changes, VIP movements, protocol requirements, and client requests.
Ensure the client is continuously updated on critical developments.
Manage high-pressure situations with composure and a solution-oriented approach.
Lead post-event debriefs and ensure timely closure of all pending deliverables.
- Post-Event Management & Reporting
Prepare and coordinate post-event reports, documentation, photographs, videos, media coverage, attendance data, feedback, and other relevant deliverables.
Conduct internal and client debriefs to capture learnings and recommendations.
Track pending commercial, documentation, and operational closures.
Identify opportunities for repeat business, extensions, and future projects.
Maintain solid relationships with clients beyond individual projects.
Desired Candidate
Profile
4–6 years of experience in client servicing/account management within an event management, experiential marketing, activation, exhibition, integrated marketing, or large-scale event agency.
Prior experience managing government, PSU, institutional, public-sector, infrastructure, cultural, sporting, tourism, or large public events will be strongly preferred.
Strong understanding of end-to-end event planning and execution.
Experience working on large-scale events with multiple stakeholders and execution partners.
Strong client communication, presentation, negotiation, and interpersonal skills.
Strong project management and documentation skills.
Ability to manage budgets, timelines, deliverables, and multiple workstreams simultaneously.
Strong problem-solving and crisis-management abilities.
Comfortable working under pressure and managing tight deadlines.
Willingness to travel extensively and work on-ground during event execution, including weekends and extended hours when required.
Proficiency in MS Office/Google Workspace and project management tools.
Excellent written and verbal communication skills.
Education
Bachelor's degree in Mass Communication, Marketing, Business Management, Hospitality, Event Management, or a related field.
A postgraduate qualification in Marketing, Communications, Event Management, or Business Management will be an advantage.
