The Students- Parent Relations Administrator will act as the primary point of contact between the school and parents/guardians worldwide. This role requires exceptional communication, cultural sensitivity, and organizational skills to provide timely assistance, coordinate parent communications and events, and support parents through admissions, ongoing academic communications, and year‑round school services.

Key Responsibilities

Serve as the first point of contact for parents/guardians globally via phone, email, video calls, and messaging platforms; respond promptly and professionally.

Manage inbound parent inquiries and requests, triaging and resolving issues or escalating to relevant departments (academics, finance, counseling, admissions,IT).

Coordinate onboarding for new families: welcome communications, orientation scheduling, documentation support, and induction materials.

Maintain and update a centralized parent contact database and CRM with accurate records, communication logs, and preferences.

Facilitate and schedule parent-teacher meetings, progress review calls, virtual conferences across time zones, and follow-up actions.

Organize and support virtual and in-person parent events (orientation sessions, workshops, webinars, open houses), including logistics, invitations, RSVP tracking, and post-event summaries.

Prepare clear, culturally appropriate communications and notices for parents, including newsletters, policy updates, calendar reminders, and emergency communications in coordination with school leadership.

Liaise with admissions and enrollment teams to support application follow-ups, documentation verification,



and offer acceptance processes for international families.

Coordinate with student support services (counselors, special educators) to connect parents to resources, schedule consultations, and track interventions.

Support billing and finance queries by coordinating with the finance team: fee schedules, payment options, receipts, and scholarship/discount communication.

Monitor and report recurring parent concerns and feedback to senior leadership; suggest process improvements to enhance parent experience.

Ensure compliance with data protection and confidentiality policies when handling parent and student information.

Work flexible schedule occasionally to accommodate parent needs across time zones.

Qualifications

Bachelor’s degree in Education, Business Administration, Communications, or related field; diploma/certification in parent engagement, customer service, or international relations is a plus.

2 years of experience in administrative, parent liaison, customer service, or school office roles; experience working with international families preferred.

Excellent written and verbal communication skills in English; proficiency in additional languages (e.g., Hindi, regional or other international languages) is an advantage.

Strong interpersonal skills, empathy, cultural sensitivity,



and the ability to build rapport with diverse families.

High level of organization, attention to detail, and ability to manage multiple tasks concurrently.

Proficiency with CRM systems, school management software, Microsoft Office (Word, Excel, Outlook), and virtual meeting platforms (Zoom, Google Meet).

Ability to work independently, exercise sound judgment, and maintain confidentiality.

Flexibility to work occasional evenings/weekends to meet parents in different time zones.
