Pilates for Wellbeing (PFW) is India's first Classical Pilates studio, founded by Kavita Prakash, a third-generation Classical Pilates instructor. Affiliated with The Pilates Center in Boulder, Colorado, USA, PFW operates two fully equipped, state-of-the-art studios in Indira Nagar and Lavelle Road, Bengaluru. The organization is dedicated to preserving and teaching the original methods of Joseph Pilates, tailored to meet individual needs and abilities. PFW offers a scientifically personalized approach to this holistic and low-intensity fitness regime.

Role Description

We're looking for a professional, organized, and client-focused Front Office Manager to join our team at our Lavelle Road studio in Bangalore.

This is a key front-facing role responsible for creating an exceptional client experience while managing front office operations, enquiries, sales follow-ups, scheduling, CRM records, and day-to-day studio coordination.

The ideal candidate should be comfortable interacting with clients, handling multiple responsibilities, following up proactively, and taking ownership of ensuring the studio runs smoothly.

Key Responsibilities

Client Experience & Front Office

• Welcome every client and visitor warmly and professionally, creating a positive first impression of the studio

• Handle incoming calls and client enquiries through phone, email, WhatsApp and other communication channels

• Provide accurate information on programmes, pricing, schedules and studio policies

• Address routine client concerns professionally and escalate matters requiring management decisions

• Build strong and lasting client relationships through proactive communication and excellent service

Enquiries & Sales

• Record and manage all enquiries in the CRM accurately and on time

• Follow up consistently with enquiries,



trials, lapsed clients and unconverted leads

• Make outbound sales calls and actively present the studio and its programmes to prospective clients

• Work towards converting enquiries into paying clients

• Track enquiry volumes, follow-ups and conversions and report them to the Head of Marketing

CRM & Client Records

• Maintain accurate client profiles, attendance, memberships, package balances, expiry dates and other records

• Manage waitlists and ensure available appointments are offered promptly

• Maintain accurate records of cancellations, reschedules and no-shows

• Keep enquiry, lead source, follow-up and conversion records updated for reporting and analysis

Scheduling & Studio Coordination

• Coordinate daily and weekly schedules with the teaching team

• Manage bookings, cancellations, reschedules and waitlists efficiently

• Ensure teachers receive timely information regarding schedule changes, new clients and relevant client preferences

• Identify scheduling conflicts and proactively suggest solutions

• Track available studio slots and actively work towards improving slot utilisation

Studio Operations

• Ensure the reception, studio and changing areas are clean, organised and presentable

• Supervise support staff and their cleaning schedules

• Ensure apparatus and props are properly cleaned, reset and ready between sessions

• Report maintenance, repair and stock requirements promptly





• Maintain a qualified and welcoming reception environment

Events, Marketing & Collaborations

• Support sales and marketing initiatives, including referral programmes and campaigns

• Communicate workshops, events and collaborations to clients and follow up on participation

• Maintain participant lists and coordinate reminders with the relevant teams

What We're Looking For

• 3+ years of experience in front office, client servicing, hospitality, fitness, wellness, or a similar customer-facing role

• Excellent communication and interpersonal skills

• Strong customer service and relationship-management skills

• Comfortable with sales conversations and follow-ups

• Strong organisational skills and attention to detail

• Ability to manage multiple responsibilities in a fast-paced studio environment

• Comfortable using CRM systems and maintaining accurate records

• Professional, well-groomed and confident in dealing with clients

• A proactive mindset with a strong sense of ownership

• Ability to work independently while being a strong team player

• Genuine interest in people and a pleasant, tactful manner

Compensation & Work Structure

• Salary: ₹[35,000 – ₹38,000] per month

• Immediate joining preferred

• Work timings:

Monday to Friday: 8:00 AM to 5:00 PM

Saturday: 8:00 AM to 3:00 PM

Lunch break: 1:00 PM to 2:00 PM, subject to reception being covered

Weekday timings may extend up to 6:00 PM depending on studio requirements.
