Job Summary
The Assistant Manager – HR Operations & PMS will be responsible for managing day-to-day HR operational activities and supporting the end-to-end Performance Management System (PMS) across Corporate Office and Hospital Units.
The role will oversee employee lifecycle processes, payroll coordination, HRMS administration, compliance support, HR MIS, and performance management activities while ensuring adherence to organizational policies, processes, and timelines.
Key Responsibilities
1. HR Operations
- Manage end-to-end employee lifecycle processes including onboarding, confirmation, transfers, promotions, and separation.
- Ensure timely preparation and issuance of appointment letters, confirmation letters, transfer letters, promotion letters, and other HR documentation.
- Maintain accurate employee records, HR databases, and personnel files.
- Coordinate joining formalities, induction, documentation, and exit formalities.
- Coordinate with Corporate and Unit HR teams to ensure smooth execution of HR processes.
2. Payroll & Attendance Management
- Coordinate monthly payroll inputs including attendance, leave, incentives, deductions, recent joinings, exits, increments, and other payroll-related inputs.
- Verify payroll data and coordinate with Payroll/Finance teams to ensure accuracy and timely processing.
- Monitor attendance, leave, shift, and related employee records.
- Resolve payroll and attendance-related employee queries in coordination with relevant teams.
3. Performance Management System (PMS)
- Coordinate and manage the end-to-end annual and mid-year PMS cycle.
- Drive timely completion of goal setting, KRA/KPI alignment, performance reviews, ratings,
and appraisal closure.
- Coordinate with Department Heads, Managers, Unit HR teams, and employees to ensure PMS timelines are met.
- Prepare PMS reports, dashboards, and performance analytics for management review.
- Support performance calibration, bell curve analysis, increment recommendations, and performance review discussions.
- Assist in designing, implementing, and continuously improving PMS processes and tools.
- Coordinate employee communication, training, and awareness sessions related to PMS.
4. HRMS & HR MIS
- Ensure accurate and timely maintenance of employee data in HRMS/HRIS.
- Coordinate with relevant stakeholders for HRMS updates, issue resolution, and process improvements.
- Prepare and publish monthly HR MIS and dashboards.
- Track and analyze manpower, headcount, attrition, absenteeism, turnover, performance, and other HR metrics.
- Provide data-driven insights and reports to management as required.
5. Compliance & Policy Administration
- Support statutory compliance and adherence to applicable labour laws and regulations.
- Coordinate and maintain records related to PF, ESIC, PT, Gratuity, Bonus, and other applicable statutory requirements.
- Assist in internal and external HR audits and compliance reviews.
- Support implementation and communication of HR policies, SOPs, and processes.
- Ensure HR practices across units are aligned with organizational policies and standards.

Employee Relations
- Address employee queries related to HR operations, payroll, PMS, attendance, policies, and benefits.
- Support employee engagement, welfare, and employee experience initiatives.
- Coordinate grievance handling and ensure timely resolution of employee concerns.
- Facilitate effective communication between employees, managers, and HR.
7. Coordination & Process Improvement
- Coordinate with Department Heads, Corporate HR, Unit HR teams, Payroll, Finance, and other stakeholders for HR operational and PMS requirements.
- Identify opportunities for process improvement, standardization, and automation in HR operations and PMS.
- Support implementation of new HR initiatives, systems, and processes.
- Ensure adherence to defined HR standards, processes, and timelines across Corporate and Hospital Units.
Required Qualifications
- MBA / PGDM in Human Resources / MSW (HR) or equivalent qualification.
- 3–8 years of relevant experience in HR Operations and Performance Management.
- Experience in the healthcare/hospital industry will be preferred.
- Hands-on experience in managing the end-to-end PMS cycle.
- Strong knowledge of KRA/KPI frameworks, goal setting, appraisal processes, performance ratings, and calibration.
- Good understanding of labour laws and statutory HR compliance.
- Strong working knowledge of MS Excel and HRMS/HRIS platforms.
- Excellent communication, coordination, analytical, and problem-solving skills.
