Job Overview
UK International London Beauty School is looking for a responsible and detail-oriented Stock Manager to manage and control inventory across the organisation. The candidate will be responsible for maintaining accurate stock records, monitoring stock movement, coordinating purchases, conducting regular physical audits, and ensuring the timely availability of products, beauty kits, equipment, and consumables across branches.
The ideal candidate should have strong inventory management skills, good knowledge of MS Excel/Google Sheets and inventory management software, and excellent attention to detail.
Key Responsibilities
- Manage day-to-day stock and inventory operations for the company.
- Maintain accurate records of all incoming, outgoing, transferred, and damaged stock.
- Monitor inventory levels and ensure adequate availability of products and consumables.
- Maintain stock records for beauty products, training kits, cosmetics, tools, equipment, uniforms, stationery, and other academy materials.
- Receive and verify materials received from vendors against purchase orders/invoices.
- Ensure proper entry of all stock receipts and issues in the inventory system.
- Coordinate stock transfers between the Head Office and different branches.
- Maintain proper documentation for stock inward, outward, transfers, returns, and replacements.
- Conduct regular physical stock verification and inventory audits.
- Reconcile physical stock with system records and identify discrepancies.
- Investigate stock shortages, excesses, damages, and discrepancies and report them to management.
- Monitor minimum and maximum stock levels and raise purchase requirements on time.
- Coordinate with the purchase/procurement team and vendors for timely replenishment.
- Maintain vendor records and coordinate regarding deliveries, shortages, replacements, and damaged materials.
- Ensure proper storage, labelling, categorisation, and handling of all inventory.
- Monitor expiry dates of cosmetics, skincare products, chemicals, and other applicable consumables.
- Maintain FIFO/FEFO practices wherever applicable.
- Prepare daily, weekly, and monthly stock reports for management.
- Track branch-wise stock consumption and identify unusual or excessive usage.
- Maintain records of stock issued to trainers, departments, and branches.
- Support management in inventory planning and forecasting based on branch requirements.
- Ensure proper control over high-value equipment and materials.
- Develop and maintain standard procedures for stock handling and inventory control.
- Coordinate with accounts, purchase, operations, trainers, and branch managers for smooth inventory management.
Required Skills
- Strong knowledge of inventory and stock management.
- Good command of MS Excel / Google Sheets.
- Experience with inventory management software/ERP will be an advantage.
- Robust numerical and analytical skills.
- Excellent record-keeping and documentation skills.
- Good vendor and internal team coordination skills.
- Strong attention to detail.
- Ability to identify and resolve stock discrepancies.
- Good communication and organisational skills.
- Ability to manage multiple branches and stock requirements.
- Honest, responsible, and trustworthy with good inventory control practices.
Preferred Candidate Profile
- 2–5 years of experience in Stock Management, Inventory Management, Store Management, Warehouse Management, or Procurement.
- Experience in beauty, cosmetics, salon, academy, retail, education, hospitality, or similar industries will be preferred.
- Graduate in any discipline; candidates with relevant experience may also be considered.
- Strong working knowledge of Excel and inventory records.
- Candidates who have handled multi-location inventory will be preferred.
