About the role:
The Front Office Executive serves as the first point of contact for visitors and employees, ensuring smooth front-desk operations, a welcoming office environment, and effective administrative support.
Key Responsibilities
Front Desk & Visitor Management
- Greet and assist visitors, clients, and employees in a professional and courteous manner.
• Manage visitor check-in and check-out procedures in compliance with security protocols.
• Handle incoming calls, emails, couriers, and mail; sort and distribute appropriately.
• Maintain a clean, organized, and presentable reception area at all times.
• Maintain professionalism and composure during high-traffic hours and employee interactions.
Office Administration & Coordination
- Conduct regular office rounds to ensure cleanliness and coordinate with housekeeping staff.
• Schedule and coordinate meetings, including meeting room setup and readiness.
• Perform general administrative tasks such as data entry, record maintenance,
and document preparation.
• Coordinate with vendors for office maintenance, supplies, and services.
• Monitor, maintain, and reorder office stationery, supplies, magazines, and inventory.
Financial & Inventory Management
• Manage petty cash with 100% accuracy and maintain complete expense records for audits. Prepare monthly petty cash reconciliation reports and submit replenishment requests.
• Conduct weekly inventory checks and submit purchase requests as required.
HR & Employee Engagement Support
• Maintain employee birthday data for timely internal announcements & circulate
weekly birthday celebrant communications.
• Prepare and submit monthly employee attendance reports to the HR team.
• Print recognition certificates such as Employee of the Month, Team of the Month, and Leadership awards.
New Joiner & Event Support
• Assist new joiners with greetings, induction coordination, kit handover, and guidance.
• Support office events including venue booking, setup, audio-visual coordination,
refreshments, and office decoration.
Qualifications & Skills-
Qualifications
- Graduation is mandatory (any discipline).
Skills & Competencies
• Excellent communication and interpersonal skills
• High proficiency in English and Kannada mandatory. Basic proficiency in Hindi
preferred.
• Strong organizational and multitasking abilities
• Attention to detail and accuracy
• Customer-service-oriented and professional demeanor
• Basic proficiency in MS Office and office management tools
