What we’re looking for:

Educational Qualifications and Work Experience:

- Minimum of a Bachelor's degree in Business, Human Resources, Organisational Psychology or Accounting
- Previous involvement in a human resources function
- Technology-savvy with expertise in accounting and reporting software (preferred)
- Facilitating and coordinating training programs for individual and organisational goals, and best practices
- Familiarity with relevant local, state and central laws and regulations within health and education fields of the social sector
- Current knowledge of labour laws, legal and financial compliance, POSH, compensation and employee benefits

Skills

- Ability to manage HR functions effectively
- Excellent written and oral communication skills in English and Marathi
- Proficiency in using computers and relevant software
- Organisation skills for understanding and managing policies, procedures, compliance, reporting and audits with potential and pre-existing donors
- Approachable, trustworthy, and demonstrated sound judgment in all interpersonal interaction
- Excellent skills in communication, relationship-building, negotiations, stakeholder collaboration and enforcing procedures
- Ability to manage cross-organisational relationships and ability to balance employee needs and concerns with the organisation’s policy and management concerns
- Ability to work in a cross-functional manner across multiple projects, balancing priorities, coordinating with diverse stakeholders, and ensuring smooth organizational operations.

What your current and future work buckets will include:

Human Resources

- Serve as the focal point for systematic recruitment, onboarding, all staff communication and offboarding
- Maintain and update database of all current and past employees (contracts, performance evaluations)
- Ensure HR compliance and manage HR information system
- Administer payroll, appraisal, benefits, statutory deductions and records retention
- Contribute to positive organisational culture, staff well-being policies and diversity initiatives
- Manage performance management and evaluation, talent development, and employee engagement




- Oversee efficient and consistent operations as the organisation scales
- Suggest updates on contracts, employee handbooks and policies in line with changes in the field and ensure their implementation
- Induct and orient all staff to the organisation, HR and admin policies
- Participate in HR working group to coordinate with other NGOs on issues common to the NGOs
- Cooperation with the operations team in payroll preparation and making sure is approved and paid on time
- Coordinate and manage a range of employee engagement and well-being activities regularly
- Coordinate quarterly KRA development and review processes.
- Facilitate annual appraisals, confirmations, and probation reviews.
- Prepare 360-degree feedback reports and performance summaries.
- Coordinate promotion and role enhancement processes.

Accounting and Finance

- Monitor, revise, control and follow up on expenditures (overspending or underspending) and proper utilisation against budgets
- Plan and manage day-to-day accounting functions – cash flows, financial data, regular cash verification, advances, forecasting, transactions, reconciliation, invoicing, utilisation, bookkeeping and other internal finance systems
- Conduct timely audits (internal and external), tax filing and clearance, and financial reporting (monthly, quarterly and annual)
- Responsible for collecting project invoices and claims, registers, supporting receipts and vouchers – verifying clerical accuracy and ensuring they are in line with the approved budget
- Coordinate monthly payroll preparation and attendance reconciliation.
- Manage leave records, late remarks, and attendance documentation.
- Coordinate PF and ESIC onboarding, deductions, and employee communication.




- Liaise with compliance consultants and administration teams regarding payroll-related matters.

Funding and Grants

- Oversee the day-to-day management of grants (budgeting, tracking expenses)
- Assist in the identification of potential funding sources
- Maintain, analyse and communicate accurate financial and accounting records (monthly and annually) for all financials, projects and grants
- Enhance grant management, accounting and finance processes
- Facilitate involvement of MCF members in the development and implementation of various fundraising strategies

General Responsibilities

- Communicate with donors and coordinate with project managers
- Developing and improving internal systems of task management and finance systems
- Compliance with relevant finance, tax and HR local, state and central laws, regulations and ethical practices within health and education fields of the social sector
- Periodically visit project offices and reviewing their financial and administrative policies and procedures, identify shortcomings and train partners in such areas.
- Ensure compliance with organizational policies, employee handbook provisions, attendance protocols, and statutory requirements.
- Maintain confidentiality and employee data protection records.
- Support disciplinary processes, escalation management, and documentation.

HR Operations & Documentation

- Maintain Staff Master Sheet and all employee lifecycle documentation.
- Manage employee records including offer letters, probation letters, confirmation letters, appraisal letters, warning letters, and exit documentation.
- Maintain Hiring Cycle Tracker, Attendance Tracker, and HR documentation systems.
- Create and manage employee Google Workspace accounts and onboarding access requirements.

Pay: ₹18,000.00 - ₹25,000.00 per month
