Executive Assistant to the Office of the Principal, Chairperson & Executive Directors

We are seeking a highly organized, professional, and discreet Executive Assistant to serve and coordinate directly with the offices of the Principal, Chairperson, and Executive Directors.

Key ResponsibilitiesSecretarial & Administrative Support

- Provide comprehensive secretarial support to the Principal, Chairperson, and Executive Directors
- Manage calendars, schedule appointments, and coordinate meetings across three offices
- Prepare meeting agendas, take accurate minutes, and distribute minutes and action items to relevant stakeholders
- Draft, edit, and proof correspondence, reports, and confidential documents
- Maintain organized filing systems (digital and physical) for each office

Communication & Coordination

- Act as the primary point of contact for internal and external stakeholders
- Coordinate communication between the offices of the Principal, Chairperson, and Executive Directors, ensuring seamless information flow
- Handle phone calls, emails,



and other correspondence professionally and efficiently
- Liaise with faculty, staff, students, and external parties as needed

Meeting & Event Coordination

- Organize and coordinate internal and external meetings, including board meetings, leadership reviews, and strategic planning sessions
- Arrange logistics such as venues, equipment, and refreshments
- Coordinate with relevant departments for events and activities like convocations, special guest visits and accreditation visits

Travel & Logistics

- Make travel arrangements for the Principal, Chairperson, and Executive Directors
- Prepare detailed travel itineraries and expense reports
- Handle visa applications and travel documentation when required

Confidentiality & Discretion

- Handle sensitive and confidential information related to board decisions, strategic plans, HR matters, and institutional governance with absolute discretion
- Manage confidential board documentation and executive-level correspondence

Required Qualifications & SkillsEducation & Experience

- Minimum Education: Bachelor's degree in any discipline
- Experience: At least 3-5 years of experience as an Executive Assistant, Personal Assistant, or similar role
- Advantageous: Prior experience working in an educational institution or similar professional environment

- Excellent command of English (written and verbal) with strong grammar, vocabulary, and communication skills
- Exceptional secretarial and organizational skills with keen attention to detail
- Solid communication and interpersonal skills to coordinate with diverse stakeholders
- Proficiency in office software (MS Office Suite: Word, Excel, PowerPoint, Outlook; Google Workspace; calendar management tools)
- Documentation expertise including minute-taking, report preparation, and professional correspondence
- Ability to handle multiple priorities and work effectively in a fast-paced leadership environment
- High level of professionalism, discretion, and integrity
