## Executive Assistant to Managing Director
**Designation:** Executive Assistant to Managing Director

### Job Summary
Ambrosia is looking for a highly organized, proactive, and detail-oriented **Executive Assistant to the Managing Director** to provide comprehensive administrative and coordination support.
The ideal candidate should have a minimum of **2 years of experience in an Executive Assistant / Personal Assistant / Management Assistant role**, with strong expertise in **calendar management, meeting coordination, vendor management, communication, and follow-up**.
The candidate will work closely with the Managing Director and will be responsible for ensuring effective management of schedules, meetings, vendors, correspondence, and day-to-day administrative requirements.
### Key Responsibilities
#### 1. Calendar & Schedule Management
* Manage and maintain the Managing Director’s daily calendar and schedule.
* Schedule, coordinate, and prioritize meetings and appointments.
* Ensure timely reminders and follow-ups for important meetings and commitments.
* Coordinate internal and external meetings with clients, vendors, and business associates.
* Effectively manage changes and conflicts in the MD’s schedule.
#### 2. Meeting & Coordination
* Coordinate meetings and ensure all required participants and information are available.
* Prepare meeting agendas, documents, and presentations when required.
* Record and maintain meeting minutes and action points.
* Follow up with relevant teams to ensure timely completion of assigned tasks.
* Maintain a tracker of significant meetings, commitments, and pending actions.
#### 3.
Vendor Management
* Coordinate and communicate with vendors, suppliers, service providers, and external partners.
* Obtain quotations and coordinate negotiations or discussions as directed.
* Maintain vendor records, contracts, quotations, invoices, and related documentation.
* Follow up with vendors regarding deliveries, services, payments, and pending issues.
* Ensure smooth coordination between vendors and internal departments.
#### 4. Administrative Support
* Handle emails, correspondence, documents, and other administrative communication.
* Prepare reports, presentations, spreadsheets, and other documents as required.
* Maintain confidential files and information related to the Managing Director and company.
* Coordinate travel arrangements, accommodation, transportation, and itineraries when required.
* Assist with personal and professional administrative tasks related to the MD, as required.
* Support the MD in day-to-day business and operational activities.
#### 5. Follow-up & Stakeholder Management
* Coordinate with various departments on behalf of the Managing Director.
* Ensure timely follow-up on important tasks and pending matters.
* Maintain effective communication with employees, clients, vendors, and business associates.
* Escalate important issues to the MD in a timely manner.
* Ensure commitments and deadlines are tracked and completed.
### Required Qualifications & Skills
* Bachelor’s degree in any discipline.
* **Minimum 2+ years of experience as an Executive Assistant, Personal Assistant, Management Assistant, or similar role.**
* Proven experience in **calendar and schedule management**.
* Experience in **vendor management and coordination**.
* Strong verbal and written communication skills.
* Excellent organizational and time-management skills.
* Proficiency in **MS Office / Google Workspace**.
* Good working knowledge of **MS Excel, Word, PowerPoint, Outlook, and Google Calendar**.
* Strong follow-up and coordination abilities.
* Ability to handle confidential and sensitive information.
* Ability to multitask and work effectively under pressure.

### Compensation
