1) Tender Identification & Tracking

Search and identify relevant electrical, electrification, maintenance, EPC, infrastructure and government tender opportunities through GeM and other authorized tender portals.

Monitor tender portals, email notifications and other approved sources for current tenders, corrigenda, extensions and amendments.

Maintain a Tender Tracker with tender name, department/client, tender number, submission date, EMD, estimated value, status and remarks.

Share suitable tender opportunities with the reporting manager for go/no-go evaluation.

2) Tender Document Review

Download and organize complete tender documents, including NIT, eligibility criteria, technical specifications, BOQ, drawings, commercial terms and annexures.

Review eligibility, scope of work, experience requirements, turnover criteria, licenses, registrations, EMD/PBG requirements and submission conditions.

Prepare a tender checklist and highlight missing documents, critical conditions, deviations and submission risks to the reporting manager.

Track corrigenda and ensure the latest tender version is used for submission.

3) Technical & Commercial Coordination

Coordinate with the technical/project team to collect specifications, scope details, BOQ inputs, drawings, work methodology and other technical information.

Coordinate with vendors/suppliers for required material rates and supporting technical documents wherever required.

Assist in preparing comparative statements, rate sheets and commercial summaries for management review.

Ensure quoted items, quantities, units, taxes and commercial terms are aligned with the tender requirements.

4) Tender Documentation & Bid Preparation

Prepare and compile technical and commercial bid documents as per tender checklist and portal requirements.

Arrange company credentials and supporting documents such as registrations, certificates, experience documents, financial documents and declarations as applicable.

Prepare cover letters, undertakings, declarations,



authorization letters and other tender-related formats under management guidance.

Ensure documents are properly named, signed/stamped where required, and uploaded in the prescribed format and size.

5) Online Bid Submission

Submit tenders/bids on GeM and other applicable e-tender portals within the specified deadline.

Coordinate for digital signature, EMD/e-BG/payment requirements and other online submission formalities.

Verify all uploaded documents and bid details before final submission.

Maintain acknowledgement, bid submission proof and portal reference details for every submitted tender.

6) Post-Tender Follow-up

Track tender opening, technical evaluation, commercial evaluation, clarification requests, negotiations, results and award status.

Coordinate internally for responses to client clarifications and additional document requirements.

Maintain records of successful, unsuccessful, withdrawn and under-evaluation tenders with reasons wherever available.

Support the team in follow-up for Letter of Intent, Work Order, Purchase Order and related documentation.

7) Records, MIS & Reporting

Maintain updated tender files, soft copies, checklists, submissions, acknowledgements and correspondence.

Prepare daily/weekly/monthly tender status reports for management review.

Maintain data on tender value, submission status, success rate, pending actions and upcoming deadlines.

Ensure confidentiality of tender pricing, commercial information and company documents.

8) Coordination & General Responsibilities

Coordinate effectively with management, technical, projects, purchase, accounts and administration teams for tender requirements.

Follow company SOPs, tender portal rules, documentation controls and ethical business practices.

Maintain professional communication with clients, government departments, vendors and other stakeholders whenever assigned.

Perform any additional tender, commercial or project-related responsibilities reasonably assigned by the reporting manager or management.

Pay: ₹15,000.00 - ₹20,000.00 per month
