Admission Counsellor – Enrollment Team

Experience: 2–5 years in Admissions, Counselling, Education Sales, Customer Relationship Management, or a similar role
1. JOB PURPOSE
The Admission Counsellor will be responsible for managing the complete admission and enrollment journey of prospective parents and students, from the initial inquiry through counselling, school visits, application, assessment, admission closure, and onboarding.
The role requires a highly customer-focused, target-oriented and proactive individual who can effectively engage with parents, understand their requirements, present the school's academic and co-curricular offerings, address queries and objections, and convert qualified leads into confirmed enrollments.
As EuroSchool Whitefield is moving towards a 7-day operational model for the Enrollment Team, the incumbent will be required to work on all Sundays to ensure uninterrupted support to prospective parents, particularly those who are available for school visits and admission discussions over weekends.
2. KEY RESPONSIBILITIESA. Lead Management & Enquiry Handling
- Handle all admission enquiries received through:
- Phone calls
- Walk-ins
- Website enquiries
- Digital campaigns
- Social media leads
- Email enquiries
- Referral leads
- Open Houses and school events
- Education fairs and outreach activities
- Internal and external references
- Respond to all enquiries promptly and professionally.
- Understand the parent’s requirements, child's age/grade, preferred academic year, previous school, location and other relevant information.
- Capture and update all lead details accurately in the designated CRM/admission system.
- Categorize leads based on their stage in the admission funnel.
- Ensure that no enquiry remains unattended or without appropriate follow-up.
- Maintain regular communication with prospective parents until the lead is converted or closed.
B. Parent Counselling
- Conduct detailed counselling sessions with prospective parents.
- Understand the expectations and concerns of parents regarding:
- Curriculum
- Academic standards
- Teaching methodology
- Student development
- Safety and security
- Transportation
- Co-curricular activities
- Sports
- Technology-enabled learning
- School facilities
- Fee structure
- Admission process
- Assessment requirements
- Clearly explain the school's value proposition and differentiate EuroSchool from other schools in a professional and ethical manner.
- Build trust and establish a strong relationship with parents.
- Address objections and concerns confidently and appropriately.
- Provide accurate information and avoid making commitments that are not aligned with school policies.
- Follow a consultative approach rather than a purely transactional sales approach.
C. School Tours & Walk-In Management
- Welcome prospective parents and students visiting the school.
- Coordinate and conduct school tours as per the approved process.
- Showcase:
- Classrooms
- Laboratories
- Library
- Sports facilities
- Activity areas
- Auditorium
- Safety and security arrangements
- Other key infrastructure and learning spaces
- Explain the academic and student development ecosystem during the tour.
- Coordinate with academic coordinators, teachers and other relevant departments when required.
- Ensure a warm, professional and personalized experience for every visiting family.
- Record the outcome of every school visit and initiate timely follow-up.
D. Admission Conversion
- Take ownership of leads from enquiry to admission closure.
- Develop and maintain a systematic follow-up plan for every prospective family.
- Follow up through appropriate channels such as:
- Telephone
- WhatsApp
- Email
- Personal meetings
- Identify serious/high-potential leads and prioritize follow-ups accordingly.
- Track the admission funnel and conversion status.
- Work towards achieving assigned monthly, quarterly and annual enrollment targets.
- Identify reasons for lead drop-offs and take corrective action.
- Escalate critical cases or parent concerns to the appropriate authority.
- Ensure that confirmed admissions are smoothly handed over to the relevant team for onboarding.
3. ADMISSION PROCESS COORDINATION
The Admission Counsellor will be responsible for coordinating the complete admission process, including:
- Initial enquiry registration
- Parent counselling
- School visit
- Application process
- Document requirements
- Assessment/interaction scheduling
- Coordination with academic teams
- Admission decision communication
- Fee-related coordination
- Confirmation of admission
- Student onboarding
- Handover to the relevant school team
The counsellor should ensure that the parent receives clear communication at every stage and experiences a seamless admission journey.
4. CRM & DATA MANAGEMENT
- Maintain accurate and updated admission records.
- Ensure that every lead is entered into the designated CRM/system.
- Update:
- Lead source
- Parent details
- Student details
- Grade applied for
- Enquiry date
- Follow-up dates
- Counselling status
- Visit status
- Assessment status
- Admission status
- Conversion status
- Reason for non-conversion, wherever applicable
- Ensure timely closure of pending activities in the CRM.
- Maintain data confidentiality and accuracy.
- Avoid duplication of leads.
- Ensure that all interactions and follow-ups are properly documented.
5. FOLLOW-UP & CONVERSION MANAGEMENT
- Establish a structured follow-up calendar for all prospective parents.
- Ensure that leads are followed up at appropriate intervals without causing inconvenience to parents.
- Re-engage dormant and previously lost leads wherever appropriate.
- Maintain a strong pipeline for future admissions.
- Follow up with parents after school visits and counselling sessions.
- Track parents who have shown interest but have not completed the application/admission process.
- Identify barriers to conversion and discuss them with the reporting manager.
- Prepare action plans for improving conversion ratios.
6. TARGET & PERFORMANCE MANAGEMENT
The Admission Counsellor will be expected to work towards measurable enrollment objectives.
Key performance indicators may include:
- Number of enquiries handled

7. PARENT EXPERIENCE & CUSTOMER SERVICE
- Maintain a warm, courteous and professional approach with all parents.
- Ensure that every parent interaction reflects the values and reputation of EuroSchool.
- Handle difficult conversations and objections calmly.
- Resolve routine queries independently and escalate sensitive matters appropriately.
- Maintain professional communication at all times.
- Ensure that parents receive accurate and timely information.
- Collect feedback from prospective parents wherever required.
- Identify recurring concerns and communicate them to the reporting manager for improvement.
8. OUTREACH & MARKETING SUPPORT
The Admission Counsellor may also be required to support enrollment-related outreach initiatives such as:
- Open Houses
- Parent orientation sessions
- School exhibitions
- Education fairs
- Community outreach
- Promotional events
- Referral campaigns
- Lead-generation activities
- School events for prospective parents
- Corporate/community engagement activities
The counsellor will actively participate in such activities and ensure timely follow-up of all leads generated.
9. WEEKEND & SUNDAY OPERATIONS
As EuroSchool Whitefield is moving towards a 7-day operational model for the Enrollment Team, the Admission Counsellor will be required to work on all Sundays.
Sunday responsibilities will include:
- Handling admission enquiries
- Responding to calls and digital enquiries
- Conducting parent counselling
- Conducting school tours
- Handling walk-in parents
- Following up with active admission leads
- Supporting weekend admission activities
- Coordinating assessments/interactions, wherever scheduled
- Updating CRM and admission records
- Driving weekend lead conversion
Sunday working is an essential requirement of this position and should be clearly communicated to candidates during the recruitment process.
The employee will be provided with a weekly rotational weekday off,
as per the enrollment team's roster and operational requirements.
The incumbent should be comfortable working during weekends and public holidays whenever required as per the school's admission calendar and business requirements.

The Admission Counsellor will regularly coordinate with:

Prepare and submit regular reports as required by the reporting manager.
Reports may include:
- Daily enquiry report

- Grade-wise enrollment report
- Source-wise lead report
- Weekly and monthly enrollment performance

The counsellor should be comfortable working with Excel/Google Sheets and CRM dashboards.
